Position Summary
The Program Coordinator supports the program objectives of the AEGD residency program and serves as the key member of the residency team. The Program Coordinator is responsible for establishing and maintaining accreditation along with the program director, facilitating resident onboarding, recruitment activities and administrative duties related to the residency as well as other dental educational programming.

Duties & Responsibilities

  • Manage, facilitate and track the accreditation process and throughout the duration of the residents’ placement to ensure compliance with any legal or academic regulations to ensure learning objectives of the students are met.
  • Oversee and complete all responsibilities necessary to arrange/schedule resident and student rotations and schedules; monitor and update electronic and hard copy file systems ensuring all required documents from sites and faculty members are current to confirm compliance with all university regulations.
  • Help design and implement data collection and evaluation tools to analyze success of community and hospital partnerships. Compile outcomes data (examples: number of patients seen, number and types of procedures performed.)
  • Maintain a master calendar of rotations and external presentations. Track resident time spent providing clinical care and affiliated projects.
  • Administer resident presentation evaluations and compile outcomes data (examples: topics and lecture hours provided, number of participants in presentations.)
  • General Administration
  • Oversees the administrative and coordination components of the educational programming in the dental department.
  • Organize and participate in all planning and oversight activities of the program, developing and maintaining systems for filing and retrieval of correspondence, notices, applications and other program information materials,
  • Develop and implement strategies that will maximize the synergies among program areas, and work with the Project team to ensure the grant goals are met and ensure consistent and high-quality evaluation.
  • Track and process grant expenses consistent with the limitations defined by the grant’s Notification of Award.
  • Provide regular updates to residents, affiliated partners, and faculty regarding the status of the project.
  • Provide support to residents to develop, edit, and submit manuscripts for publication in academic journals.
  • Coordinate the project correspondence, meetings, agenda, operational plans, and presentations for speaking engagements. Participate in ad hoc events, Lunch & Learns, and presentations throughout the academic year as needed.
  • Attend any training courses or meetings related to administrative functions.
  • Perform other related duties and participate in special projects as assigned
  • Qualifications:

    Minimum Qualifications

  • Bachelor’s degree.
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
  • Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.

  • Preferred Qualifications


  • Bachelor’s and/or Master’s degree in Education, Public Health, Health or Social Sciences
  • Microsoft Office Proficiency
  • Familiarity with UIC Systems such as BANNER, TEM, IBuy
  • Working knowledge of educational evaluation and program assessment tools
  • Experience with dental health care communities
  • Experience with Public Health and/or Dental Education
  • Outstanding oral and written communication skills, including public presentations
