The Program Support Assistant is responsible for supporting the Annual Giving, Planned Giving, Major Gifts, Alumni Relations, and Advancement Services team, performing an array of complex responsibilities in support of cash fundraising goals, activities, projects, and communications.

• Ability to perform computer work as specified by hiring department/unit.
• Experience in public relations, marketing, telecommunications, software applications as specified by department.
• Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.

Additional Preferred Qualifications

• Superb fluency with all Office 365 software (Word, Excel, Outlook).
• Ability to multi-task and appropriately prioritize daily workload in consultation with supervisor.
• Unquestionable integrity and professional discretion.
• Ability to keep highly confidential information confidential.
• Knowledge of standard business formatting and a commitment to professional, error-free presentation in all communications.
• Collaborative work style and successful experience working as a member of a team.
• Professional manner and appearance to appropriately represent PSU to high-level alumni, donors and prospective donors, volunteers, and University leadership.
• Strong analytical skills.
• Bachelor’s degree.
• Past experience with Raiser’s Edge software and salesforce CRM.
• Supervisory experience.
• Experience in proofreading.

Duty/Responsibility

• Coordination of front desk, email, and phone communications for the areas listed above that are housed in Holmes Alumni House. Serve as the administrator for department operations and ensure that all inquiries and drop-ins from students, alumni, faculty, donors, community partners, and other guests are responded to in a friendly, thorough and professional manner providing the highest level of customer service. 
 
• Provide financial reports to directors, disseminate budget information to team members, process contracts, invoices, payments, deposits and transfers, processing hiring paperwork and timesheets, as well as assist with budget development and monitoring, as needed. 
 
• Support members of the University Advancement team and their work with prospects with travel, calendar, meeting, print projects, mailings, and event coordination, including serving as administrative support and taking the minutes at quarterly meetings of the President’s Council and Alumni Association Board 
 
 
 

Duty/Responsibility

• Coordinate logistics and liaise with the Events & Conference Planning Office for 20 + on-campus events each semester, such as Student-Alumni networking events, alumni visits and panels, fundraising dinners, and Alumni Association Board meetings, including making arrangements for technical support, facilities, registration and catering, and providing information to participants. 
 
• Assist with planning, coordination, and execution of large office events, such as the Summer Reunion, Greek Reunion, and Homecoming. 
 
• Maintain and execute the communications plan for 50+ alumni donor cultivation events each year, involving the development, design and writing of emails, newsletters, and other promotional materials, in frequent coordination with colleagues in Communications and Marketing. 
 
• Maintain PSU’s alumni event, mentoring and volunteer engagement database in Raiser’s Edge, ensuring quality control across multiple communication channels 
 
• Manage life-event communications for the alumni office, ensuring that every significant moment we are told about by one of our 38,000+ alumni is recognized by their alma mater. 
 
• Hire, train, schedule, and supervise student workers to support engagement work in Raiser’s Edge, develop promotional and programmatic materials, provide ongoing event prep and support, and complete time-sensitive tasks for a diverse array of department goals and programs, all while providing valuable workplace experiences
