• Provide financial reports to directors, disseminate budget information to team members, process contracts, invoices, payments, deposits and transfers, processing hiring paperwork and timesheets, as well as assist with budget development and monitoring, as needed.
• Support members of the University Advancement team and their work with prospects with travel, calendar, meeting, print projects, mailings, and event coordination, including serving as administrative support and taking the minutes at quarterly meetings of the President’s Council and Alumni Association Board
Duty/Responsibility
• Assist with planning, coordination, and execution of large office events, such as the Summer Reunion, Greek Reunion, and Homecoming.
• Maintain and execute the communications plan for 50+ alumni donor cultivation events each year, involving the development, design and writing of emails, newsletters, and other promotional materials, in frequent coordination with colleagues in Communications and Marketing.
• Maintain PSU’s alumni event, mentoring and volunteer engagement database in Raiser’s Edge, ensuring quality control across multiple communication channels
• Manage life-event communications for the alumni office, ensuring that every significant moment we are told about by one of our 38,000+ alumni is recognized by their alma mater.
• Hire, train, schedule, and supervise student workers to support engagement work in Raiser’s Edge, develop promotional and programmatic materials, provide ongoing event prep and support, and complete time-sensitive tasks for a diverse array of department goals and programs, all while providing valuable workplace experiences
