Vernon Campus- Classified II Switchboard Operator/Admissions Specialist

Job Description

The Classified II, Switchboard Operator/Admissions Specialist, Vernon is responsible to the Director of Enrollment Management/Registrar for providing support for all Admissions, Recruiting, and Registrar processes and programming at Vernon College.

Specific duties include:

1. Know the basic telephone system features.

2. Process all telephone traffic for the Vernon campus, and place long distance calls for the College (except extensions which have direct dialing capability).

3. Assist in operating a general information center for all visitors and students.

4. Be prepared to initiate independent action in emergency situations where the switchboard becomes a focal point.

5. Train other employees assigned to telephone switchboard duties.

6. Provide secretarial duties assigned by Director of Enrollment Management/Registrar and Assistant Registrar including but not limited to maintaining supplies of materials and forms used for the routine function of the office; retrieving and distributing documents received by mail and fax.

7. Function in a multitask environment; receive visitors (in-person, telephone, email, virtually) courteously and professionally; determine individual?s needs and provide accurate information accordingly; correctly refer and provide next steps/questions.

8. General knowledge of class schedules, College catalog, and College processes (e.g., processes from application to enrollment and course management to completion) in order to provide accurate information to current and prospective students.

9. Proficient in the use of technology (e.g., Excel, POISE, Colleague, DocuBase) in order to process prospective and current students from application through completion.

10. Maintain Admissions, Recruiting, and Registrar student records and confidentiality of all student information; including Continuing Education student records.

11. Assist in all student programming, registrations, and ceremonies as assigned.

12. Responsible for Admissions (e.g., application, required documentation/processes, holds), Recruiting (e.g., prospect tracking, tours, new student checklist/Q&A), and Registrar (e.g., transcript evaluation, major declaration, course registration, course management, degree and certificate completion) processes; includes continuing education and international students.

13. Responsible for providing back-up to other Admissions Specialists (both Classified II and III).

14. Responsible for aiding in the success of individuals by helping students choose and enter their pathway and helping students stay on their path.

15. Participate in development opportunities for continuous improvement in professional skills (e.g., computer, software, secretarial, customer service).

16. Function as a team member of the Division of Admissions, Recruiting, and Registrar professional staff in the development and implementation of processes necessary to accomplish the goals and philosophy of the division and the College.

17. Assume duties and responsibilities as assigned by the Director of Enrollment Management/Registrar, Assistant Registrar, Vice-President of Student Services, and/or the President.

Travel Required: Minimum travel between locations required

Experience and Training: Experience as a receptionist as well as general office work experience.

Education: High school graduate or GED required

Knowledge, Skills and Abilities: Skilled in meeting and assisting the public. Ability to perform detail work and the ability to follow verbal and written instructions. Interpersonal communication skills are necessary as regular contact with students, faculty, and the public are essential job functions. 

Preferred Qualifications: Excellent interpersonal and customer service skills to be a positive representative for VC. Must have strong oral communication skills. The ability to multi-task and work with numerous  interruptions.

Minimum Educational Qualifications: High school graduate or GED required

Salary or Salary Range: This is a full time 12 month position with full time benefits. The salary for this position is $25,065 and is a Classified III position on the Classified salary scale. Applications will be accepted until May 22, 2023. This position is available on May 22, 2023.
