Summary of Position

This position is essential to ensure that the Business AU is operating efficiently and functioning smoothly.

  • Coordinating tasks and functions of BAU programs/disciplines.

Duty/Responsibility

General Academic Program Coordination and Support:
  • Coordinate tasks and functions of Academic program(s)/discipline(s): facilitate the planning and delivery of academic administrative events and activities (i.e. classes, guest lecturers, seminars, workshops, practicums, and cluster projects); support service requests from students, faculty, staff, parents, guests and community partners; administer course & classroom scheduling data entry and revisions (Banner Student Access); manage requests from students, faculty and other PSU organizations and research/troubleshoot and/or refer to appropriate resources and provide timely, accurate response resolution.
  • Act as program/discipline support for the Academic faculty and PSU Admissions and assist with open houses, tours and orientation activities. Serve on PSU boards/committees to represent university/program/discipline issues and report to stakeholders.
  • Institutional and Administrative Compliance: ensure the appropriate administration of policy, regulatory & rules compliance; manage adherence to published processes & procedures; facilitate safety compliance & risk analysis.
  • Data Collection & Stewardship: maintain databases, perform data entry and retrieval, create spreadsheets and reports, and compile statistics.
  • Document Management & Reporting: create, distribute and retain documents such as brochures, handbooks, program/discipline publications, periodicals, hand-outs and other written materials as assigned.

AU Specific AOM Responsibilities:
  • Enter, maintain and update data in the Banner system in support of Course scheduling of Business and Economic Undergraduate and Graduate Courses Academic Forms: process all UG and Grad student academic forms within the BAU faculty approval process and submit completed forms to the Registrar’s Office.
  • BAU Scholarships Management: serve as the support liaison with the Office of Advancement, the Office of Financial Aid, and the BAU Scholarship Committee to process the annual Business Scholarships. Includes, review, awarding and acknowledgements.
  • Collection, aggregation, and dissemination of 31 full-time faculty and 26-teaching lecturer activities; including, but not limited to work-plans, classroom observation reports and TL semester availability forms.
  • Support faculty to ensure effective Membership management of the PSU Theta Sigma Chapter of the International Business Honor Society, Delta Mu Delta Administrative support for ACBSP accreditation; biannual Business Advisory Board meetings and act as recording secretary for AU monthly faculty meetings.

Communications:
  • Direct marketing outreach materials: create marketing resources, control compliance and certify authorization for all cluster/department related marketing and outreach materials.
  • Distribute general program information, and conduct activities to support academic programs and initiatives including creating and maintaining displays, digital monitors, bulletin boards, postings, etc.
  • Communicate information regarding compliance to PSU and/or USNH policies and procedures. Assist in updating, creating, and/or improving policies and procedures.
  • In support of AU faculty, Create BAU web content for plymouth.edu and intranet SharePoint sites.

Facilities Management- Space, Wall Space, Furniture, Equipment, Tools, & Inventory:
  • Enter, track, and record work orders.
  • Manage use of space and coordinate moves providing resources and supplies as required.
  • Purchase, monitor and maintain inventory of office and academic supplies and technology. Act in a fiscally responsible manner in meeting the needs of the program/discipline.
  • Create and maintain attractive, safe program/ discipline work spaces.

Duty/Responsibility

  • Represent the cluster/discipline with Financial Services Center.
  • Oversee budget monitoring, reporting and assist in budget preparation through query management; report writing; tracking expenditures and/or revenues.
  • Purchase supplies, equipment and tools using PCards and purchase orders.
  • Document, track, report and ensure policy compliance of direct pays, personal reimbursements, professional development funds and faculty/student travel.
  • Assist with contract facilitation by working with cluster/discipline team and finance.
  • Oversee program/discipline grants and student awards, scholarships, honor society and course fees.

Duty/Responsibility

Staff Management:
  • Manage student/supplemental staff including supervision, recruitment, and training, mentoring, and advising.

Human Resources:
  • Facilitate human resource activities such as employee on/off boarding, new hire orientation, act as search committee participant, insure compliance with Department of Labor laws and university policies/ and approve student and adjunct staff payroll.

Project Management:
  • Administrative liaison for project management within the program/discipline/university.
  • Support project initiatives through coordination, deadline management, record keeping, document preparation, and research for projects that include upgrades to technology, research, cluster projects, and accreditation.
