Basic Function

Under the direction of an assigned administrator, to perform a variety of clerical accounting duties of average difficulty; maintain accounting records for a specific function such as ASB< ASO funds or Administration of Justice Department billings and record-keeping.

Representative Duties

  • Maintain various financial and statistical records for an assigned function such as ASO, ASB and related funds or Administration of Justice Department billings and record-keeping. E
  • Prepare billings for a variety of State agencies; verify enrollment and appropriate amounts due; prepare invoices for mailing. E
  • Prepare a variety of ASB financial documents including income and expense statements, balance sheets, invoices, receipts, purchase orders and other documents related to assigned area. E
  • Maintain journals or other assigned ledgers; record transactions and transfer funds according to established accounting procedures and controls. E
  • Communicate with vendors, law enforcement agencies, campus organizations and District personnel to follow up on purchase orders, resolve problems, verify employment and discuss financial transactions and status. E
  • Assist faculty, students and staff at the counter or window; receipt monies, resolve problems and correct irregularities as appropriate or refer to superiors for resolution. E
  • Maintain records of cash transactions and receipts issued; balance monies; issue refunds as appropriate. E
  • Compare and review financial data and documents to assure accuracy and proper authorization; process as appropriate. E
  • Gather, assemble, tabulate and file financial and statistical information. E
  • Operate a variety of office machines and equipment including typewriter, calculator, copier and automated office equipment and related software. E
  • Enter a variety of financial data related to assigned function on a computer terminal. E
  • Perform related duties as assigned.

Knowledge and Abilities

KNOWLEDGE OF:
  • Basic accounting principles and practices.

  • Type at an acceptable rate of speed.
  • Perform clerical duties such as filing, duplications and typing.
  • Meet schedules and time lines.
  • Communicate effectively both orally and in writing.
  • Establish and maintain cooperative and effective working relationships with others.

Education and Experience

Any combination equivalent to: graduation from high school and two years of clerical accounting experience involving financial or statistical record-keeping.

Foreign Degrees

Any degree from a country other than the United States, including Canada and Great Britain, must be evaluated by an Evaluation Service prior to the closing date. Certification must be attached with copies of transcripts.

Distinguishable Characteristics

The Account Clerk II performs clerical accounting duties related to a specific accounting function or area such as ASB, ASO and related funds, or Administration of Justice Department billings and record-keeping. The Account Clerk I performs general and routine clerical accounting duties and assists other accounting personnel as needed or as assigned. The Account Clerk III is assigned accountability for performing a wide variety of clerical accounting duties related to a major technical accounting function or area such as accounts payable or cash management.
