Department/Program Description: The mission of the Stanford Chemistry Department is to deliver excellence in education and research by attracting the very best faculty and students.  The Department serves 26 faculty members, five lecturers, ~90-100 postdocs, ~250-300 Ph.D. students, ~10 research staff, and 30 administrative staff, with an annual consolidated budget of approximately $30 million. The Department facilities comprise over 300,000 square feet of research, classroom, and administrative space spread over six buildings. This position reports to the Finance and Research Administration Manager.

Position Summary: The Department of Chemistry is seeking a Research Administrator 2. The Research Administrator 2 will work under general supervision of the Finance and Research Administration Manager and is part of a finance and research administrative team.  This position will work closely with two Research Administrator 3 team members who directly support the financial portfolios for 26 active faculty members and emeriti.  This role will focus primarily on postdoctoral fellowship applications and submittal to the University sponsored research system.  Outside of the finance and research administration team, this individual will work closely with postdoctoral scholars working in Chemistry Department faculty labs.  This provides an excellent opportunity to advance one’s comprehension and expertise in research administration working within an experienced team.  The ideal candidate must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. This position will work under minimal supervision to manage the fellowship proposal preparations and post award activities and work closely with team members to support monthly financial projections and reporting. 

It is critical that this position exhibit the abilities to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management. This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies and procedures as they relate to Finance and Research Administration – the ability to translate this information into operational successes will be critical.

This is a 100% FTE, continuing exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid working on-site and off-site), subject to operational need.

CORE DUTIES:

  • Participate with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines. Oversee and communicate submission process, both paper and electronic; review documents for completeness and compliance.
  • Develop, prepare, and finalize project budgets, and provide budget justification.
  • Serve as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.  
  • Collaborate with Office of Sponsored Research to ensure awards are set up properly and cost-sharing requirements are fulfilled; initiate cost transfers.
  • Review and approve expenditures, advise on post-award spending and commitment activity, and oversee compliance related to funds and revenue.
  • Develop and communicate reports supporting project status; create effective forecasting and decision aides.
  • Participate in contract closeout process; submit final reports and certificates. Compile information and documents needed for audit inquiries.
  • Understand, apply, and advise on university and government policies for projects.
  • Serve as a resource on the subject area and overall technical resource to the principal investigator and other university staff.
  • Participate in and contribute to process improvements. Lead other staff in group projects
  • May participate as a mentor and provide cross-training as needed.

Education & Experience:

Bachelor's degree and three years of job related experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Basic knowledge of governmental regulations.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Excellent oral, written, and communication skills.
  • Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.
  • Strong accounting skills; knowledge of accounting principles.
  • Ability to complete Cardinal Curriculum I and II within first year in role.
  • Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
  • Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
  • Competency in project management.
  • Extreme attention to detail.
  • Ability to work well independently, but also to seek or offer assistance when needed.
  • Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
  • Excellent time management and organizational skills.

Certifications and Licenses:

  • Cardinal Curriculum I and II must be completed to remain in this position.
  • Certified Accountant or Auditor or similar credential desired.

The expected pay range for this position is $81,000 to $99,000 per annum/hour.
