Job Summary

The Coordinator for ACE and Event Support provides overall program management for the Arts & Cultural Events fee, including logistics, budgeting, Banner operations, promotion, and coordination with the ACE co-chairs. Supports programs planned by student clubs through oversight of event equipment, managing a rental system, supporting space reservations, and providing comprehensive marketing design. With a talent for media design, this creates print/digital marketing campaigns for select Thayne Center programs. Across these endeavors, this role leads numerous projects with limited guidance from the Thayne Center Director and in tandem with the Coordinator for Business Operations. Success of this role is measured by accessibility of ACE grants and effective coordination with student clubs.

Essential Responsibilities and Duties

Oversee Arts & Cultural Events Grants
  • Oversee ACE master budgets, and sponsored indexes using Banner to ensure ethical expenditures of student fees via grants to other offices.
  • Develop and implement an annual promotion plan to increase awareness of ACE grants for programming entities across the institution.
  • Consult with programming entities throughout the grant submission process, including preparation for monthly grant proposal presentations. Utilize CampusGroups to track proposals.
  • Arrange monthly ACE proposal meetings and coordinate proposal evaluation.
  • Support grant recipients with event logistics, contract process, and marketing collaboration.
  • Promote events from ACE grant recipients via SLCC Today, the Globe, and other SLCC social media.
Campus Groups – Equipment Rental & Room Reservation
  • Coordinate equipment rental for use by student clubs, Thayne Center events, and campus event entities (inside and outside Student Affairs division). Communicate rental expectations.
  • Develop expertise of event equipment. Perform a regular inventory of rentable equipment. Execute or coordinate item refurbishment and replacement.
  • Assist the campus scheduling office to process student club and Thayne Center staff space reservations. Review room availability, setup, equipment, and catering needs. Assist requestors in understanding event details, i.e., building hours and management, custodial, safety, and security to ensure that all needs for the event are addressed. Assist in securing space for groups in other college locations. On a limited basis, create room reservations using campus software.
  • Train student leaders (SLCSSA, student clubs/organizations) on room reservations and equipment rental requests procedures, including forms in Campus Groups.
  • In collaboration with the Coordinator for Business Operations, review all Campus Groups program planning requests. Attend and co-lead weekly event request evaluation meetings.
Student Club & Thayne Center Marketing
  • Review marketing request forms in Campus Groups from student clubs (<30 projects annually). Lead marketing consultations with student club representatives. Develop marketing for student clubs including print campaigns, social media campaigns, and digital screens. Coordinator with Print services regarding ordering and delivery.
  • Develop Thayne Center marketing requests for key programs: Truth in Tuition, Student Forum with President Huftalin, SLCCSA Elections, monthly campus-wide events, etc. This includes print campaigns, social media campaigns, and digital screens.
  • Maintain the Thayne Center brand and marketing expectations across all marketing materials
  • Other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree (120 credit hours) in related field.
  • Zero (0) to two (2) years of direct, paid, full-time work experience.
  • Trade off 1:1 in experience/education requirement.
  • Part-time experience may be considered on a prorated basis.
  • Experience in higher education.
  • Experience using graphic design skills, specifically photoshop.
(Able to work M-F during daytime hours and possible some nights and weekends)

Preferred Qualifications

  • Experience working with students from diverse backgrounds.
  • Experience planning large-scale events and programs.
  • Knowledge of organizational software and reservation software, CampusGroups or Event Management System.

Knowledge, Skills & Abilities

  • Experience with using CampusGroups, Event Management System, and Banner.
  • Ability to learn new programs and use them effectively.
  • Ability to work in a loud, open, heavily populated environment.
  • Experience with budgeting and tracking multiple accounts.
  • Excellent consultation skills.
  • Strong graphic design skills, specifically photoshop.
  • Strong verbal and written communication skills.
  • Ability to set priorities, organize tasks, and take initiative within established parameters.
  • Ability to operate numerous student programming equipment.
  • Ability to maintain a professional and positive attitude.
  • Ability to work independently and prioritize a multitude of projects.
  • Ability to work some nights and weekends.
  • Ability to be open minded, understanding, and empathetic with students.
  • Ability to absorb rapidly changing information and apply it effectively.
  • Ability to communicate College policies and procedures effectively and diplomatically.
  • Ability to research, analyze, compose, and provide oral or written reports.
  • Ability to use Microsoft Office, Banner, Campus Groups, and EMS.
  • Create and maintain a program supply inventory.
  • Ability to complete Utah Driver’s Safety Training; including a valid Utah’s driver’s license.
  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.

Non-Essential Responsibilities and Duties

Able to move 40 lbs.
Ability to complete Utah Driver’s Safety Training.
