Job Summary

As a member of President’s Cabinet, the Chief of Staff provides leadership and operational oversight of the Office of the President in fulfilment of the College’s mission by conveying an atmosphere of excellence, distinction, and warmth in service to students, faculty, staff, and the general public. They work closely with the senior leadership team to coordinate efforts and promote understanding of our mission and strategic plan within and across the College’s constituents, serve in an advisory role to the President, partner with the Advancement Office and Foundation, and engage in community outreach on behalf of the College and President’s Office.

Job Duties

Serve as a member of President’s Cabinet; provide leadership and operational oversight of the Office of the President in fulfilment of the College’s mission by conveying an atmosphere of excellence, distinction and warmth in service to students, faculty, staff and the general public.
Articulate a keen awareness of, and appreciation for, the role of the College in our local, regional, and state-level educational landscape.
Embrace the community college mission and engage in the strategic alignment of daily operations to fulfill long-term strategic objectives of the College.
Work closely with the senior leadership team to coordinate efforts and promote understanding of our mission and strategic plan within and across the College’s constituents.
Represent the President at various civic and college events.
Serve in an advisory role to the President working with confidential correspondence and dealing with issues that require sensitivity and discretion.
Exhibit integrity and sound judgement in working with diverse populations, including appreciation for tone, grammar, content, and messaging for College-level responses, announcements, and publications.
Stay current through reading about community college best practices and make recommendations to the senior leadership team.
Oversee the professional development, work-life integration, and onboarding for senior leaders at the College.
Review and approve leave reports for direct reports to the President.
Maintain timeline for annual and periodic evaluations of senior leaders.
Provide oversight for planning senior leadership retreats and Cabinet-level training.
Manage the President’s Office budget and synthesize monthly reports including, but not limited to, Organizational Health indicators, Financial Health indicators, and reporting strategic goals and objectives.
Manage communication on issues and inquiries from students, faculty, staff, TBR board and staff members, legislators, media groups, and community members.
Coordinate the College’s executive-level communications, including but not limited to, speeches, reports, presentations, mailings, and other communications.
Maintain consistent communication and feedback loops to ensure the accurate and timely flow of information to and from the Office of the President.
Review and edit publications and news releases to ensure accuracy and compliance with applicable policies and accreditation standards.
Serve on standing and ad-hoc committees.
Take an active role in the College’s strategic initiatives and their implementation.
Initiate and manage college-wide projects on behalf of the President.
Manage the Assistant and student workers, including providing guidance, overseeing schedule, setting performance standards, and monitoring performance.

Institutional Advancement

Work with the Advancement Office related to fundraising and events.
Promote and meet the college foundation’s financial and event responsibilities.
Coordinate services for events, such as accommodations and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing, and event security.
Build relationships both internally and externally.
Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
Conduct post-event evaluations to determine how future events could be improved.
Develop and implement digital records management system for managing events.

Community Outreach

Establish community network to build the brand of Northeast State Community College.
Attend community meetings to understand community issues and build relationships with community members.
Advise clients or community groups on issues related to the college.
Complete other assignments as directed by the President.

Minimum Qualifications

Bachelor’s degree or higher from an accredited institution.
Four years of increasingly responsible organizational experience, including experience with educational operations and policies and a sophisticated understanding of interpersonal relationships.
Four years’ experience working with the general public, civic organizations, and other non-profit or community-based associations, including but not limited to postsecondary institutions as appropriate.
Public speaking experience.
Proven expertise in project management, processing statistical data, and operational planning.
Experience with confidential documents and electronic records.

Preferred Qualifications

Experience in a higher education office.
Experience with Native Banner.
Event planning experience.

Knowledge, Skills, and Abilities

Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems.
Knowledge of Tennessee Board of Regents, College, and SACSCOC policies and guidelines as they relate to the President’s Office.
Ability to maintain effective working relationships with students, public, and institutional personnel.
Demonstrated commitment to inclusive excellence.
Appreciation for shared governance practices in higher education.

Ability to proofread and edit complex documents;
Ability to perform basic informational research projects;
Ability to collect, organize, verify, analyze, interpret, and report data;
Ability to express ideas clearly, concisely, and convincingly;
Ability to organize, prioritize, and perform multiple tasks;
Dependable with the ability to work unsupervised.
