Position Summary

The individual in this position reports to the Registrar. This position coordinates all aspects of the graduation process, reverse transfer program, auto awarding of credentials, and contacting near completer. This position will also oversee the Prior Learning Assessment (PLA) and transfer course evaluation process for the college. This position will ensure that accurate data on all course equivalencies are sent to external student resources (CSM website, ARTSYS, ACE Military Guide, TES, etc.).

Specific Duties and Responsibilities

Essential Functions:


  • Evaluates applicants for letter of Recognition, Certificates, Continuing Education Certificates and Degree graduation applications.
  • Approves candidates for graduation in degrees, certificates, letters of Recognition and Continuing education certificates.
  • Coordinates reverse transfer students’ graduation applications.
  • Evaluates transcript evaluation requests for Reverse Transfer.
  • Researches possible program completers, completes degree audit, contact students to complete a graduation application.
  • Coordinates the Registrar’s Office duties in the coordination preparation of the graduation ceremonies.
  • Coordinates all correspondence sent to students regarding graduation applications and graduation ceremony activities.
  • Coordinates and develops various graduation reports for academic departments, PIER, and community relations.
  • Coordinates the auto awarding of credentials for both credit and continuing education students.
  • Manages the graduation email account.
  • Manages the entry of course substitutions, blanket waivers, and pre-req waivers.
  • Reviews weekly continuing education certificate report and awards certificates.
  • Establish and maintain a college-wide prior learning assessment system including policy development and program evaluation
  • Implement and manage institutional expectations of Prior Learning Examination Law.
  • Deliver annual training for new and existing PLA evaluators
  • Deliver training to support students in the development of PLA portfolios for applicable courses
  • Assist as necessary in ensuring matriculation between credit and non-credit programs and articulation of degrees to 4-year programs and manage Prior Learning Transfer Agreements.
  • Work with Deans, Faculty, Directors and Program Coordinators to identify new and existing courses that are appropriate for PLA
  • Chair Prior Learning Assessment Committee
  • Manage and update Career and Technology Education (CTE) agreements with the three counties.
  • In collaboration with marketing, develop outreach a promotional language for the website, social media, print materials and other sources that communicate the availability and value of PLA to potential and current students
  • Maintain a procedural desk manual as a step by step guide for processes related to position
  • Prepare the annual PLA report
  • Advise students throughout the PLA process and serve as the point of contact for all inquiries about the PLA process.
  • Conduct training sessions to assist faculty and staff in understanding their roles in the PLA process and in developing PLA assessment guides for their courses.
  • Maintain current knowledge of policies and best practices (CAEL, Council for Adult and Experiential Learning) related to aligning learning and work so that adults achieve academic and career success.
  • Collaborate with the Division of Learning and the academic departments to develop PLA related programming in the classroom including facilitation of classroom presentations.
  • Evaluate military training for academic credit.
  • Apply credits earned through Prior Learning Assessment to students’ records.
  • Monitor and facilitate the completion of student requests for transfer credit evaluation submitted through the ARTSYS system.
  • Monitoring and answering email inquiries regarding PLA
  • Conducts numerous telephone conversations and sends e-mail communication to prospective and students, replying to issues or answering inquiries
  • Provides information to students regarding courses or career training that will meet their goals; Handles complaints from dissatisfied clients or individuals and ensures complaints are addressed in an appropriate manner to optimize overall customer satisfaction
  • Assists with distribution of marketing materials, as needed
  • Represents CSM in recruitment activities when needed

Additional Duties:
  • Performs other related work as required.

 

Minimum Education and Training

 

  • Bachelor’s degree required
  • 3-5 years of office experience required
  • Experience working in a community college setting preferred

 

Minimum Qualifications and Standards Required

Knowledge, Skills and Abilities:


  • Must maintain insurability for vehicle use under the college’s liability insurance coverage.
  • Excellent oral and written communication skills.
  • Microsoft Office Suite skills.
  • Knowledge of databases and database software
  • Ability to work with professional integrity and discretion.
  • Experience in working with confidential information to insure the confidentiality and security of all student records and follows appropriate security measures regarding confidential student information and processing requests for information from faculty, staff, administration and students when appropriate.
 
Physical Requirements:

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly. Additionally, the following physical abilities are required:
  • Use of fingers: Typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
  • Feeling: Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
  • Visual acuity: Have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
  • Hearing ability: Sufficient to hold a conversation with other individuals both in person and over a telephone; and to hear recording on transcription device.
  • Speaking ability: Sufficient to communicate effectively with other individuals in person and over a telephone.
  • Mental Acuity: Ability to make rational decisions through sound logic and deductive processes.
  • Talking: Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
