Job Summary:

The Department of Mathematics at UW-Madison is seeking an Administrative Assistant to join our talented administrative support team. One of the largest on campus, Mathematics is home to nearly 400 workers including faculty, academic staff, university staff, pre- and postdoctoral trainees; as well as graduate and undergraduate student employees. This position offers a dynamic and collaborative work environment including a broad range of challenging and varied administrative responsibilities. A successful candidate will be enthusiastic, motivated and have excellent interpersonal and organizational skills.
This new entry-level role will be expected to provide general support to the members of the administrative team. Serving as the front desk receptionist, duties include fielding inquiries from department members and the public, directing visitors, purchasing and distributing supplies, and serving as a resource for our student hourly worker(s). Additional responsibilities include serving as administrative lead for the annual Wisconsin Mathematics, Science and Engineering Talent Search competition, assisting with faculty and grad student recruitment activities, and serving as backup contact for various administrative staff.
In addition to the duties outlined above, the person in this role will provide direct administrative support to the Math Learning Center Director. This support will include performing activities around data analysis and reporting, scheduling assistance, ordering and maintaining supply inventory, and assisting with event coordination.


Responsibilities:
Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 15% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 10% Maintains and distributes supply inventories, tracking expenditures and maintaining required records

Qualifications:

Required Qualifications:
Excellent verbal and written communication skills
Experience using MS Office products for coordinating and processing work activities
Excellent interpersonal skills including ability to work with people from a wide variety of backgrounds, cultures, and levels of education
Preferred Qualifications:
Minimum 1 year experience working in a business office setting or in a customer service role


Work Schedule:

Standard business hours are 7:45-4:30 M-F. Actual schedule will be determined upon hire.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location. Remote work is not available for this role.

Salary:

Minimum $19.00 HOURLY
Depending on Qualifications
The minimum starting wage for this position is $19.00 per hour but is negotiable based on experience and qualifications.
