Job Description Summary

Providing high level administrative support for the Periodontics Department at Penn Dental Medicine. Manage the Chair Calendars, prepare agendas, generate meetings, and take minutes. Make room reservations and prepare work as needed. Prepare papers/letters as needed for faculty and resident evaluations. Prepare correspondence for patients, as needed. Coordinate inventory management for the Postdoctoral Periodontics Clinic. Work on Predoctoral and Postdoctoral academic curriculum with Program Manager. Help coordinate the predoctoral curriculum needs with the Director of Predoctoral Periodontics, including uploading grades, coordinating lectures and proctoring schedule.

Responsibilities:

  • 25% Assist with academic curriculum by providing updates to Canvas and Exam soft and pulling reports; uploading questions; meeting with students, proctoring re-examinations and special accommodation students, transferring grades from Canvas to In Touch
  • 20% Manage and disseminate information related to the postdoctoral schedule by proactively contacting the appropriate departmental contacts to build schedules, as well as being responsible for reserving rooms, updating Outlook Calendar, and communicating changes and cancellations of events in a timely manner
  • 20% Actively participate and manage implant inventory and biologic material for the postdoctoral clinic by documenting usage of implant, biological materials and restorative components etc. to provide monthly to Practice Administrator.
  • 15% Assist in the management of mail, creating and preparation of reports, take meeting minutes, assist with hiring paperwork, and provides direct support to Program and Clinical Managers
  • 10% Manage calendars for Chairman, Directors—scheduling departmental meetings and calibrations as directed
  • 5% Work directly with all departments throughout the school to coordinate operations functions (fiscal operations, HR, academic affairs, student affairs, and clinical affairs)
  • 5% Other duties as assigned

Qualification

  • H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience.
  • Experience within a College or University setting preferred.
  • Dental Knowledge Preferred
  • Ability to get BEN Buys training
