Job Summary


Under general direction of the CAO operate with a high level of independence to supervise business operations in the department of Microbiology and Molecular Genetics. Oversee the department’s business and payroll functions, and facilities. Independently manage the Academic Personnel Program for the department, including senate and federation appointments, merits, and promotions. Provide overall management of an NIH postdoctoral training grant in Cancer Biology. Serve as fiscal officer for intramural, extramural, and other fund sources.
Provide high level analytical and business operations support to the department. In collaboration with CAO oversee fiscal close and the transition process to Aggie Enterprise. Supervise the Business office Assistants (2) and student assistants (3). Work on special projects as assigned.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:         

  • Bachelor’s degree in related area and /or equivalent experience / training.
  • Experience interpreting and applying a broad range of academic personnel policies and procedures, independently coordinating academic personnel actions for a variety of faculty and academic staff and student titles.
  • Experience using automated payroll/personnel, accounting, and/or financial systems, computer skills to effectively use spreadsheet, word processing, website content management systems, case management system, and internet applications to create and maintain electronic documents and records.
  • Experience working in a high volume, fast-paced environment of shifting priorities combined with organization skills and experience prioritizing and coordinating large volumes of work to complete multiple, various tasks simultaneously with frequent interruptions, and maintain paper and electronic file systems.

 

Minimum Knowledge, Skills, and Abilities (KSA):

  • Critical thinking and applied problem-solving skills to research and analyze complex information and problems related to academic personnel, payroll/personnel, and grant administration.
  • Mathematical and auditing skills to perform calculations and to review ledgers, calculate/verify employee pay and resolve discrepancies/problems.
  • Writing, grammar, editing and proofreading skills to complete forms, reports and correspondence, interpersonal communication skills to work with clientele effectively, professionally, and collaboratively from diverse backgrounds and perspectives.

 

PREFERRED QUALIFICATIONS

Preferred Education/Experience:         

  • Supervisory experience: recruiting, selecting, training, assigning workload, evaluating performance, team-building, and providing development opportunities.
  • Experience with UC Davis systems including UCPath, Cognos reports, AggieService, UC Davis Financial Information Systems Kuali, AggieTravel, Decision Support, Myinfovault, Recruit, knowledge of internal and external grant processes, experience using automated proposal systems- Cayuse, Fastlane, Proposal Central, Research.gov etc.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of UC policies related to payroll and personnel, academic program administration, budget, financial, and business practices.
