Job Description


Educational Programs and Services (EPS) is home to departments and programs that are central to the educational mission of the Stanford University School of Medicine.  We serve all populations of students and trainees who participate in the School's programs: Stanford MD, MS, MSPA, and PhD students; visiting MD students seeking clinical clerkships; postdoctoral scholars and medical fellows; and medical practitioners seeking further professional enrichment. Department Information

The Center for Immersive and Simulation-based Learning (CISL) at the Stanford School of Medicine, and its 28,000 square foot Goodman Immersive Learning Center (ILC) in the Li Ka Shing Center for Learning and Knowledge (LKSC), is recognized as a world-leader in Immersive and Simulation-based Learning (ISL). For nearly 30 years, Stanford has been a pioneer in research, curriculum development, and instructor training in simulation in healthcare, through the work of Professor and current Associate Dean for ISL David Gaba MD and a host of other medical school faculty. The ILC offers various immersive learning experiences, including mannequin-based simulation, partial-task training, and standardized patient actors (who are trained to play the role of a patient with a specific medical complaint). The focus on medical education and lifelong learning is the driving force of the ILC. The use of the ILC continues to grow as more immersive activities are being developed for all learner populations, including medical and physician assistant students, residents, fellows, and experienced clinicians both from Stanford Medicine and from outside institutions.

Job Purpose

Under the direction of the Director of the Standardized Patient Program, the ILC Administrative Assistant (AA) assists with duties related to hiring, training compliance, and payroll of Standardized Patients, along with supporting the activities of CISL. Under the direction of the Director of Operations, the ILC AA assists with duties related to CISL operations, including supplies/equipment tracking, event signage, and maintaining the departmental administrative wiki pages. The ILC AA is also responsible for providing direct support for the two Associate Deans of Immersive and Simulation-based Learning.

The ILC AA knowledgeably promotes and supports the department’s activities/programs and handles a wide variety of internal and external communication in an environment of high customer service. The position requires multitask flexibility, strong detail orientation, problem-solving skills, excellent follow through, and the ability to work autonomously as well as interdependently and concurrently with many people, projects, and activities.

This 100% on-site position requires being located at the entrance of the ILC, greeting visitors, students, and faculty, and providing wayfinding for LKSC activities -- from the loading dock to the conference center.

Core Duties

?      As first point of contact to all visitors of the ILC, greet visitors with exceptional customer service. Provide general policy information and guidance to visitors inquiring about use of the ILC rooms and resources.

?      Post event information to digital display and post wayfinding signs daily; communicate with vendors for receipt of supplies/equipment.

?      Coordinate and handle logistics of CISL Team events.

?      Assist with annual CISL Symposium as requested.

?      Take minutes at weekly ILC Staff meetings and Operations meetings, and quarterly CISL Team meetings, and distribute to attendees. Maintain departmental administrative wiki pages.

?      Point-person for coordinating and scheduling numerous meetings and rooms, including staff meetings and multiple event consultation meetings.

?      Arrange travel for guest speakers.

?      Maintain and order office supplies and equipment. Maintain tracking sheets for staff computers and equipment warranties.

?      Secondary point of contact for general maintenance, health and safety, and other facility concerns within the ILC.

?      Maintain administrative process and policy documentation on departmental administrative wiki.

?      Instruct backup contingents of policies, processes, and status of current projects.

?      Assist with hiring for Standardized Patient contingent employees (SPs), including I9s and other required paperwork.

?      Process payroll for SPs, which includes maintaining list of multiple jobs and payrates, maintaining SP records in FileMaker database, entering timecards in Axess, obtaining electronic signatures from SPs, and uploading payroll documentation.

?      Purchase parking permits for SPs for onsite events and be their point of contact for arrival and check-in.

?      Assist with ensuring SP compliance with required trainings.

?      Maintain checkout process for ILC master key.

?      Direct support as needed for the two Associate Deans of Immersive and Simulation-based Learning.


Education & Experience (Required)

High school diploma and three years of administrative experience, or combination of education and relevant experience.

?      Proficient computer skills and demonstrated experience with office software and email applications.

?      Demonstrated success in following through and completing routine tasks.

?      Strong organizational skills and attention to detail.

?      Strong verbal and written communication skills.

?      Ability to prioritize and multi-task.

Physical Requirements

?      Constantly perform desk-based computer tasks.

?      Frequently sitting.

?      Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

?      Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $58,000 to $73,500 per annum.

Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
