Summary of Position

Under general supervision of the Director of Career Development and Assistant Director of Advising, this position provides administrative support in a compassionate and positive setting for the Academic and Career Advising Center at Plymouth State University. This role provides office operational and logistics to support students, faculty, staff, parents, employers, and others contacting the center. Core responsibility areas include coordination of front desk operations and communication needs, program and project logistics, technology and data management, and co-supervision of student workers. This position collaborates with other members of the center and campus to support ongoing initiatives projects and programs.

  • High school graduation and five years of related experience involving progressively responsible duties requiring discretion and independent judgment or Associate’s Degree and three years of related experiences or a combination of higher education and related experience equal to five years.
  • Interpersonal skills to establish and maintain effective working relationships with faculty, staff, students, employers, parents, and the general public.
  • Ability to deal with people from a wide variety of backgrounds daily.
  • Strong organizational skills and effective oral and written communication skills.
  • Technical skills required include familiarity with MS Office (especially SharePoint, Teams, Word, Access, and Excel), Adobe, and equipment such as scanners, copiers, projectors, etc.

  • Experience working within higher education
  • Supervisory experience
  • Experience working within a career services and/or academic advising environment
  • Associate’s degree or higher within a related field
  • Experience with budget management
  • Strong computer skills including MS Office suite (Access, SharePoint & Excel) website maintenance, financial software, and databases
  • Understanding of Banner, Handshake and Navigate or similar software platforms

Duty/Responsibility

Maintain front desk office operations for the Academic and Career Advising Center including tasks such as phone and email management, filing, copying, basic financial record keeping, grant support assistance, job approvals, advisor assignments and other related administrative tasks and other related administrative tasks, assist in ongoing special projects support for the Academic Career Advising Center team members.

Duty/Responsibility

Serve as first point of contact from front reception and welcome area; be inviting for students, faculty, staff and the general public. Answer and triage questions, assist in appointment scheduling and direct guests to appropriate resources.

Provide programmatic and event support including room reservations, catering requests, event setup, communication management and other logistic needs.
