Job Summary/Basic Function:
The Executive Assistant will work in an innovative, equity-focused and cross-organizational environment to further the work of the Equity and Social Justice Division. The Executive Assistant will provide executive level administrative support to the Vice President for Equity and Inclusion.
PERFORMANCE RESPONSIBILITIES
Abilities
  • Organize all functions of the VP office in an effective and efficient manner consistent with the college's mission and vision.
  • Establish and maintain effective communication and working relationships with faculty, staff, students, the community, other agencies, and peers.
  • Assume responsibility for the areas of authority delegated to the executive assistant, interpret policies, and make decisions as appropriate.
  • Work cohesively as a member of the division's leadership and represent the VP as assigned.


Skills
  • Coordinate meetings and prepare agendas and meeting materials (i.e. meeting minutes).
  • Maintain and monitor budgets, assist with budget development and analysis, and ensure accuracy and compliance with policies and procedures.
  • Maintain VP calendar, schedule meetings and appointments and manage all aspects of VP travel.
  • Plan, direct, and coordinate events, including conferences, trainings, retreats and meetings.
  • Manage inquiries and complaints directed to the VP office and/or coordinate response efforts.
  • Compose correspondence on behalf of the VP and exercise appropriate signature authority on administrative matters.



Minimum Qualifications:
  • Associate degree and/or three years progressively responsible experience, including, but not limited to paid work experience, in executive level office support, program coordination, or administrative work.
  • Experience working with or first-hand understanding of the risk factors associated with people who have been disproportionately impacted by historical exclusionary laws, policies, and practices and experience overcoming barriers similar to those facing such students.
  • Demonstrates ability to learn administrative policies and procedures; office methods, policies and procedures specific to the College organization.
  • Demonstrates ability to promote and contribute to a collaborative, positive, supportive and healthy work environment by establishing and maintaining cooperative relations with others.
  • Evidence of exceptional customer service skills.
  • Exceptional written and verbal communication skills; proficient in commonly used software applications and technology.
  • Experience serving students, employees, and community partners across a diverse spectrum of backgrounds
  • Higher-level project management and time-management skills including dealing with multiple and competing deadlines, the ability to prioritize, work under pressure, complete tasks on time and be responsive to requests.
  • Experience with planning events and coordination of multiple internal and external partners.
  • Forecasting needs and discernment of priorities of the Vice President.
  • Demonstrated ability to maintain confidentiality and ethical standards.
  • Experience managing and reconciling multiple budgets.



Preferred Qualifications:
  • Advanced use of Microsoft Software Applications primarily spreadsheets and Word.
  • Experience leading or supervising others.
  • Multi-lingual skills

Work Hours: Full time, overtime exempt position. M-F 8am - 5pm. Some evening and weekend hours for meetings and events. Summer schedule is condensed to 4 10s, typically with Fridays off.

Benefits This position is eligible for State of Washington Public Employee Benefits, such as Medical, Dental, Vision, Life and Long Term Disability Insurance, Retirement plans, and more. Additionally, Everett Community College Administrative/Exempt employees accrue 16 hours of vacation for every month of service, during which the employee is in pay status for 10 or more days; 8 hours of sick leave for every month of service, during which the employee is in pay status for 10 or more days; 11 paid holidays throughout the year, plus 3 paid personal holidays.
