Job Description

The Keough School of Global Affairs seeks a Program Manager for Students Services to manage non-curricular support provided to MGA students from the time they are admitted to the Keough School Master of Global Affairs (MGA) until graduation. The Keough School offers a two-year MGA degree that enrolls approximately 80 students, over half of whom are international students. The Program Manager must have experience and expertise needed to communicate and implement program policies and practices to a highly diverse student population, and troubleshoot complex international challenges students face involving travel, visas, and housing, particularly during fieldwork abroad. The Program Manager reports to the Program Director of the MGA Program and works in close collaboration with the Senior Specialist for Academic Programs, the Program Manager for the i-Lab, the Associate Director for Professional Development and Alumni Relations, the Associate Director for MGA Admissions and Recruiting, the Assistant Director of the International Peace Studies Concentration as well as student-focused staff in Institutes and Centers that are part of the Keough School.

Primary Responsibilities:

Manage Student Services throughout the students’ experience in the MGA 
 
The Program Manager manages non-curricular support for students at the Keough School. Specifically, the Program Manager: 
  • Creates, organizes, plans and implements effective communications strategies and messages that inform student cohorts about program policies and practices, address student concerns and questions, and foster student community building; 
  • Troubleshoots a broad range of individual student issues and concerns that arise, particularly concerning their living situation or finances, both on campus and in the field, in a manner which is professional, respectful, culturally sensitive, and consistent with program policies 
  • Designs and implements student events and activities, including leading the planning of MGA graduation in collaboration with MGA Program Director, leading program evaluation and feedback sessions, coordinating student meetings with visitors to campus, and other student events. 
  • Leads coordination of the MGA Student Activities Council, which facilitates interaction between the students and the program; 
  • Assists the MGA program director in determining who meets the academic requirements such as quantitative and language requirements, through review of student transcripts and other documents, and conducts an audit each semester to ensure students have met requirements for graduation and submits reports to graduate school;
  • In collaboration with the Senior Specialist, troubleshoots student course scheduling issues from pre-registration to end of add/drop period each semester, compiles and communicates relevant registration information to students, assists students with academic change forms, and audits degree requirements;
  • Manages development and use of new advising tool “Graduation Progress System” (GPS), which tracks student progress in meeting graduation requirements 
 
Manages Pre-Arrival 
 
The Prorgram Manager:
  • Creates, organizes, plans and implements effective communications strategies and messages to communicate with students admitted to the MGA program; coordinates arrival, visa, housing, and other support to students and ensures that students meet all requirements for enrollment in the program 
  • Creates and contributes to collaborative advising system, which allows student advisers and relevant staff to collaborate on student advising for the duration of the MGA program; 
  • Designs and hosts student orientation in collaboration with Program Director, including planning program content, scheduling sessions, coordinating with invited guests, and answering student questions; 
  • Facilitates travel, housing, visa status, insurance and other administrative arrangements for students admitted to the Master of Global Affairs in collaboration with the office of International Student and Scholar Affairs, Student Housing, and other relevant campus offices, and troubleshoots individual challenges which arise 
  • Serve as the primary point person for student financial issues, ensuring payment of graduate student stipends, processing on-campus jobs for Master of Global Affairs students, and resolving questions about tuition and financial aid. Serves as liaison to the Office of Student Accounts. 
 
Manages student support for Practicum Experiences

The Program Manager:
  • In collaboration with colleagues at the Kroc Institute, manages arrangements for Kroc Institute students completing six-month field placements, including arranging and troubleshooting travel logistics, working with Notre Dame International to arrange appropriate visas, and troubleshooting visa issues that arise
  • Serves as primary point person to ensure students have health insurance during fieldwork, serves as liaison to the University Health Services office on campus, and provides support and troubleshooting to students facing insurance issues while in the field.
  • Collaborates with colleagues from the Kroc Institute to host a travel safety workshop; pro-actively provides information to students about their responsibilities and resources in anticipation of the complex travel, visa, housing, and safety situations they will face during their fieldwork.

Minimum Qualifications

  • B.A. in a relevant field and 5 years of relevant experience;
  • Candidates should have a team-oriented, collaborative approach to work; 
  • Experience working with students and administering student-focused aspects of an academic program, particularly for international students from culturally diverse backgrounds;
  • A professional approach to interpersonal interactions; 
  • Skills in working collaboratively with a diverse range of stakeholders both within the School and the University as well as with external partners; 
  • Excellent written and oral communication skills; 
  • Strong organizational abilities; basic database management and maintenance skills; 
  • Ability to maintain confidential information.
