Montgomery College, Germantown Campus, has an immediate need for a full-time Course Scheduling Assistant in the WDCE Operations department. The work schedule is Monday through Friday 8:30 a.m. – 5:00 p.m. /40 hours a week. This is a bargaining Status, non-exempt, grade 21 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Job Description

Duties include but are not limited to:

Work with WDCE departments on the implementation of new programs, cohort offerings, and course offerings to ensure the proper building and coding of the course(s) in the student information system (Banner and Lumens).

  • Create and update classes, coding each class with the appropriate features in the student information system (Banner) and course scheduling system (Lumens).
  • Analyze the validity and logic of schedule changes and additions.
  • Resolves schedule conflicts and incomplete communications.

Maintain classes, coding each class with the appropriate features in the student information system (Banner) and course scheduling system (Lumens).

  • Understand appropriate procedures to follow regarding changes to the schedule and how changes must be processed differently depending on the timeline of the semester, including the cancellation of classes and semester start-up phases.
  • Anticipate unusual situations, develop solutions or alternatives, and be resourceful.
  • Troubleshoot potential problems with respect to scheduling by using a variety of reports, such as error reports, room conflict reports, cross-listing reports, and room utilization reports.
  • Coordinate the relocation of classes from requests by WDCE departments and disability support services when necessary due to student or faculty needs.
  • Publish online four non-credit class schedules each academic year to make available for registration.
  • Provide direction on guidelines and procedures for dealing with emergency situations, including power outages, weather-related issues, facility issues, and unexpected or last-minute requests. Collaborate with facilities and security for emergency situations.

Work with other departments to enhance scheduling procedures or be prepared for potential upcoming projects.

  • Work with IT Services and SIS Team for Enrollment Services to coordinate the creation and maintenance of reports. Serve as the initial point of contact for WDCE Customer Service regarding Banner issues for new students, parents, and the general public.
  • Answer the Program Director’s inquiries via phone, email, and in person on a daily basis.
  • Interpret and release information from student academic records, including the release of official transcripts, in accordance with college policies and procedures, relevant state and federal laws, and FERPA.
  • Process overrides and necessary permissions in the student information system.
  • Maintain the integrity, accuracy, and confidentiality of students’ education records and class data.

Required Qualifications:

  • High School diploma or G.E.D.
  • Two years of general office experience that includes admissions, records, and registration experience.
  • Strong computer skills are also required, including Microsoft Office Suite software, Student Information System (Banner preferred), and Image Now.
  • An equivalent combination of education, training, and experience providing the knowledge, skills, and abilities necessary to perform the essential functions of the job may be considered.

Salary Range: $22.22 to $28.88 (hourly).  Initial salary placement is based on candidate experience and internal equity.
