Essential Functions

The Program Specialist is responsible for providing administrative and program support for Corporate Services, Human Resources Development and National Career Readiness Certificate (HRD & NCRC) Programs and for receptionist and office support responsibilities for the Durham Tech Chesterfield location.

Job Duties

  1. Greet visitors and handle incoming calls and function in a front desk receptionist capacity at the Durham Tech Chesterfield facility.
  2. Provide exemplary customer service and open, clear communication to clients, the public, the community, and colleagues daily.
  3. Maintain office supplies and materials to support department and instructors and provide onsite support for programming.
  4. Support planning and implementation of courses designed to meet client and student needs.
  5. Responsible for learning Colleague and other college systems and implementing new procedures and processes to continue the workflow of contracts, reports, and maintaining course files.
  6. Generate, assemble and maintain content of all course files (i.e., instructional contracts, reports, registration forms, etc.) and coordinate proper storage and security of all course files.
  7. Responsible for the inclusion and accuracy of all course files for compliance purposes.
  8. Assist in preparation of instructional materials as necessary.
  9. Process registrations and evaluations for assigned classes.
  10. Produce and update course data and documents for program directors as needed and ensure that all program reporting is completed in a timely and efficient manner, checking for correctness and accuracy of all data.
  11. Maintain objectivity and confidentiality in handling departmental and institutional information, especially information relative to departmental personnel.
  12. Ensure that all programs are conducted according to Durham Technical Community College, State, and program policies.
  13. Seek methods and implement strategies to improve the efficiency and effectiveness of processing and reporting.
  14. Promote an attitude of teamwork among staff, instructors, students, and community representatives.
  15. Additional duties shall include other appropriate activities as assigned by the coordinators, directors, registrar, executive director, or the president.
  16. Participate in department, division, and college meetings, serve on committees, and utilize team meetings to contribute to the success of the college and the department.
  17. Make recommendations to supervisor concerning department needs.
  18. Travel within Durham and Orange Counties as needed.

Required Working Hours

A minimum of a 40-hour work week as determined with the supervisor to allow the employee to fulfill the assigned duties and responsibilities, including occasional evening and weekend hours.

Hiring Range

$44,463 - $52,800
