Responsibilities*

  • Under general direction, provide administrative support to UMMG Leaders, Managers, Project Managers, etc. 
  • Meeting and committee coordination which includes agenda planning, resource scheduling and coordination, taking minutes, follow-up on action items, etc.
  • Manage multiple complex calendars.
  • Handle administrative matters which may be of a confidential nature with the upmost level of discretion.
  • Anticipate the needs of those being directly supported.
  • Draft correspondence and documents, PowerPoint presentations and Excel spreadsheets. 
  • Run business reports as requested.
  • Represent the department on routine matters and in assigned meetings which may include agenda planning, resource scheduling and coordination, take minutes, etc. 
  • Provide coverage for other administrative support staff within the UMMG Administrative Support Team.
  • Manage administrative processes such as Blue Folders, Performance Valuations, email distribution lists, documents, staff contact lists, etc.
  • Perform an assigned set of suite duties such as supply ordering, vendor liaison, etc.
  • Coordinate travel and subsequent expense tracking and reporting.
  • Perform other duties as directed.

Required Qualifications*

  • A high school diploma or equivalent
  • 4 years of experience in an administrative support capacity.
  • Demonstrated ability to act in a professional manner.
  • Excellent verbal, written and interpersonal skills. 
  • Excellent organizational, time-management and multi-tasking skills with a keen ability to pay attention to all details.
  • Strong critical thinking and problem-solving skills.
  • Ability to respond effectively to a dynamic environment.
  • Strong customer service focus. 
  • Demonstrated ability to produce professional correspondence, free from grammatical and spelling errors. 
  • Ability to work independently and regularly exercise sound judgment in setting priorities. 
  • Proficient in use of Microsoft Suite products. 

Desired Qualifications*

  • Knowledge of Michigan Medicine policies and procedures.
  • Knowledge of UMMG/Ambulatory Care structure, processes, and procedures.

Work Schedule

This is a full-time position; Monday through Friday, shift hours are normally from 8:00am – 5:00pm (shift hours could have some flexibility and potentially be changed based on the operational needs and/or work-life balance of personnel). As part of Michigan Medicine’s Flexible First Workplace initiative, this position has the opportunity for a hybrid (both onsite work and remotely) or remote work arrangement based on business needs of the unit and preference of the individual.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
