Overview

The Walensky laboratory of cancer chemical biology at the Dana-Farber Cancer Institute and Harvard Medical School is seeking an energetic, efficient, and resourceful individual interested in gaining experience as an administrative assistant for a principal investigator (PI) who serves as a physician, scientist, and educator.

The Administrative Support Specialist provides a variety of administrative functions to patients, staff, faculty member/s or department/s. Uses various office software and platforms in support of department operations. Project work including, but not limited to producing reports, spreadsheets, presentations or other documents as needed.  Requires knowledge of Institute policies and practices and may be required to interface with senior management, cross-organizations, internal and external customers and government and community officials which require considerable tact and diplomacy.

Responsibilities

Specific duties will include, but are not limited to:

  • providing operations support to postdoctoral fellows and graduate students
  • overseeing the day-to-day infrastructure of the laboratory to optimize processes (e.g. laboratory website maintenance , collaborations, intellectual property filings, database management)
  • organizing research and student gatherings/events
  • manage PI schedule and travel
  • provide organizational support to laboratory and educational program personnel, and taking on special projects as they arise.
  • The successful applicant will serve as a critical liaison and coordinator for the principal investigator in his duties as clinician, laboratory PI, and Director of the Harvard/MIT MD-PhD program.

Specific skills and personal attributes required include: high energy and upbeat multi-tasker, supremely organized with exquisite attention to detail, independent thinker and doer, exemplary written and oral communication skills, computer, technology & laboratory savvy, impeccable people skills a must.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree preferred with a minimum of 3-5 years relevant experience working in a medical or scientific research setting or comparable technology-oriented business environment is preferred.  Demonstrated ability to draft correspondence and have exemplary oral and written communication skills.  Advanced computer skills are required.  A certain degree of creativity and latitude is required and relies on experience and judgment to plan and accomplish goals.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent written and oral communication skills.
  • Knowledgeable of computer applications including Microsoft Office, Microsoft Outlook, and Excel.
  • Exceptional customer service skills and the ability to interact professionally with peers, leadership and external contacts.
  • Must possess the ability to problem solve, maintain confidentiality and pay attention to detail.
  • Excellent ability to organize, prioritize and follow-through.
