We are searching for someone to join our dynamic team who shares the same passion and mission. We are looking for a Undergraduate and Special Projects Coordinator for our Department of Theology.
Who we are: The Department of Theology is at the heart of the education in faith and reason that the University of Notre Dame strives to give its students. Guided by the ideal of “faith seeking understanding,” we engage in academic and pastoral reflection on various aspects of the mystery of the divine-human relationship. We do so in six principal areas: moral theology, history of Christianity, liturgy, biblical studies, systematic theology and world religions and world Church.
Who we need: We are looking for an experienced administrative professional with a strong sense of excellent organization and communication skills, event planning competence and a commitment to excellence. We need a highly motivated individual who thrives wearing many hats and has the ability to prioritize with minimal oversight.
This position is responsible for administrative support for the undergraduate program as well as event planning and communications for the Theology department. Staff member assists with day-to-day needs of undergraduate students, tracks student progress towards fulfillment of the major or minor and maintains student records, and organizes undergraduate recruitment and social events. This person works closely with Director of Undergraduate Studies. This position also oversees special projects, travel and event planning, advertising, publication design, and website maintenance.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Administration and undergraduate duties:
- Provides consultation to prospective students and assists current students with questions regarding course requirements, schedule changes, and study abroad opportunities.
- Course Scheduling: Works closely to plan the academic course schedule for all Theology programs. Maintains course schedules, new course additions, cross listings, and classroom assignments for faculty. Assists with room and schedule change, as well as special requests, throughout the semester.
- Coordinates advising sessions and processes departmental overrides to enable students to register for classes.
- Manages the budget for the Theology undergraduate program.
- Maintains and updates student records, gathers database information and creates statistical reports.
- Assists the Director of Undergraduate Studies with oversight of the Honors Thesis program, program maintenance and process improvements.
- Maintains office supplies for undergraduate program, including promotional materials and apparel.
- Manages departmental procurement card and process monthly expense reports.
Communication duties:
- Manages communications for department faculty, staff, and students using a variety of tools including email, print media and facebook.
- Compiles information including departmental news and events, faculty publications and honors, special reports, and campus news for biweekly departmental newsletter.
- Uses Conductor (website software) to update and maintain all areas of departmental website.
- Promotes department events using social media (Facebook and YouTube) and advertisements in local, national, and international publications
- Uses Publisher, Photoshop and/or InDesign to create promotions for departmental events, lectures, and conferences.
Event and Special Project Duties:
- Plans events and arranges travel for department faculty, students, and visitors such as degree program activities, orientations and annual events.
- Coordinates faculty and student visits including lodging, dining, meeting coordination, and travel plans.
- Reserves rooms for departmental meetings, exams, colloquia, conferences and events.
- Coordinates catering menus for faculty and student events with assistance from department administrative assistant.
- Assists with travel planning and organization for international conferences and study trips
- Coordinates housing for visiting scholars or professors.
This is a 10-month position, typically from August – May.
Minimum Qualifications
- High school diploma or GED and 1-2 years of experience
- Knowledge of office operations and environments
- Excellent communications skills
- Highly organized
- Ability to learn new computer applications
- Due to the level of sensitivity of materials handled, a commitment to confidentiality is essential (hires, promotions, etc.)
- Excellent team skills
- Experience in staff management and staff utilization
Preferred Qualifications
- Knowledge of universities policies and procedures
- Knowledge of university systems and software’s
- Knowledge of accounting and budgeting procedures and systems
