Job Description

ADMINISTRATIVE ASSISTANT 2, Architecture-Aga Khan Program for Islamic Architecture (AKPIA), to serve as a source to faculty, graduate students, and visitors and as a liaison between AKPIA and department headquarters.  Will make travel arrangements; schedule faculty meetings; participate in events management related to academic and social activities, e.g., room reservations, set-up, catering, alcohol permission, advertising, liaising with speakers, collecting RSVPs, etc.; monitor expenditures and prepare purchasing/reimbursement forms related to events and supplies; provide support for subject offerings, including room reservations, collecting grades and syllabi, guidance teaching assistants with regard to purchasing procedures; oversee the TA/RA placement and hiring process each semester; participate in the Department of Architecture admissions efforts throughout the year by answering inquiries from prospective applicants in support of the direct activities of the admissions committee; perform routine office tasks (e.g., mail, photocopying, distribution of office keys, etc.); participate in regular organizational maintenance of office suite to maintain professional and efficient workspace; and provide support to senior leaders of the group as new initiatives are determined. Other duties may include editing website content, maintaining design and brand awareness, and handling social media.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; at least three years of experience in a professional administrative office support position, preferably in an academic environment; meticulous attention to detail; demonstrated organizational/events management experience; proficiency with standard Microsoft Office software; strong customer service skills; and ability to work proactively and multitask in an environment with changing priorities.  PREFERRED: familiarity with MIT SAPweb, Concur, and CANVAS; experience with social networking applications; Experience with web CMS.  Job #22510-5
