Position Summary/Purpose of Position:

The Department of Physics at the University of Maryland seeks a coordinator to manage overall department operations and communications. The coordinator will be based in the department chair’s office, working with the chair and director of faculty affairs, but will have responsibilities that extend throughout the department.

The coordinator must maintain a professional and positive demeanor and handle sensitive and confidential matters independently and with discretion and tact.

The coordinator must retain flexibility in accepting assignments and have the ability to work independently on multiple tasks. Duties include but are not limited to:

  • Managing events such as staff awards luncheons, VIP visits and special happenings
  • Planning research workshops
  • Spearheading the department’s fundraising efforts, in concert with the development staff of the College of Computer, Mathematical and Natural Sciences
  • Managing the department chair’s front office, and ensuring the smooth operation of the unit’s leadership and committees
  • Leading operations such as the onboarding of new employees, issuance of parking permits, granting of building access and approval of room reservations
  • Independently managing logistical support (travel, restaurant reservations, reimbursements, honoraria, procurement, scheduling etc.) as needed
  • Serving as an overall resource for the department, proactively anticipating and meeting needs to increase departmental efficiency and effectiveness.
  • Supporting the department’s public and education outreach efforts



Minimum Qualifications:

Education and Experience:
  • Bachelor’s degree or an equivalent combination of education, training and experience
  • 2 or more years professional experience
Knowledge, Skills, and Abilities:
  • A demonstrated commitment to exceptional customer service
  • Ability to meet strict deadlines and multi-task, and to follow protocols and procedures
  • Strong attention to detail, record-keeping, and reconciliations
  • Proficiency in Microsoft Office, and ability to learn other software as needed
  • Willingness to adapt quickly to changes in assignments and to work in a team
  • Comfort with event planning
  • Excellent written, verbal and interpersonal communication skills

Preferences:

Preferred Qualifications:
  • Two years (with a degree) or six years (without) of progressively responsible administrative work, preferably in a university environment.
  • Knowledge of University of Maryland travel and accounting systems.
  • Experience coordinating travel, meetings, conferences and purchases.

Additional Information:

The starting annual salary is $52,000 – $65,000, depending on experience. Flexible work arrangements, with some telework after a successful onboarding period.

Physical Demands

This position takes place in an office and requires visual acuity and repetitive motions associated with computer use. There are some physical requirements for setting up events, such as carrying food, moving furniture, and transporting large racks of folding chairs. There will also be travel to other buildings on campus. A flexible schedule may be necessary on occasion.
