Summary of Position

This role assists with ongoing administrative and office work for EOS’ Center for Acoustics Research and Education (CARE), the Earth Systems Research Center (ESRC), and the Ocean Process Analysis Lab (OPAL). The position will help organize and maintain office operations and procedures, including placing orders for equipment and supplies, scheduling meetings and taking notes, and coordinating travel and expense reimbursement.

Duty/Responsibility

ADMINISTRATIVE SUPPORT
  • Responsible for the equipment inventory and identification of space for new staff, students and visitors in conjunction with Directors of the Centers. Assist with other onboarding tasks, as required.
  • Coordinate travel and expense reimbursements for assigned centers.
  • Assist with placing orders for equipment and lab supplies for assigned centers projects using UNH online USHOP electronic purchasing system. Pay invoices/bills as needed using USHOP.
  • Maintain personnel contact info and email distribution lists.
  • Assist with security of Center resources (e.g. maintain supply room key codes, projector checkout list, etc.).
  • Assist with event/course preparations (e.g. room reservations, catering, supply orders, helping with check-in, etc.), as needed.
  • Assist the EOS Administration Office in issuing parking permits & tracking reservations for the EOS parking pad.
  • Assist the EOS Administration Office with submitting Facilities requests for minor (e.g. room temperature issues, light bulbs out, minor repairs) or emergency (e.g. water leaks, plumbing issues) building issues.

Duty/Responsibility

GENERAL OFFICE SUPPORT
  • Organizes and maintains office operations and procedures: ensures efficient and effective day to day business.
  • Schedule conference rooms; provide audiovisual support; order catering; maintain electronic files. Provide access to conference rooms as needed.
  • Oversee maintenance of printers, copiers and other office resources (e.g. replace toner cartridges, submit service requests).
  • Assist Center personnel with their shipping needs via FedEx, UPS, and UNH Mail Services. Assist with mail and package delivery as required.
  • Oversee common areas and help keep them clean and organized.
  • Keep office supply room stocked.
  • Keep mailbox labels up to date and assist the EOS Administration Office with mail delivery as needed.

Duty/Responsibility

MEETINGS & SCHEDULING
  • Assist Center Directors with PI meetings (scheduling, note-taking, etc.) and Center communications.
  • Assist with seminar scheduling.
  • Attend meetings that pertain to job responsibilities.

OTHER TASKS
  • Liaison between assigned centers and UNH space survey coordinator to appropriately document space usage allocations with sufficient detail for subsequent review by the cognizant federal agency for the F&A Cost reimbursement negotiations.
