Job Description

Who we are: Federal TRIO programs serve and assist low-income youth and/or potential first-generation college students to progress through the academic pipeline from middle school to post baccalaureate programs. The University of Notre Dame TRIO Office proudly hosts two federal pre-college programs, Talent Search and Upward Bound, from the South Bend/Michiana region.

Job Description:
  • Create and maintain a welcoming and productive environment at the TRIO Office by greeting visitors, TRIO participants and families, assisting in the implementation of safety protocols, coordinating the maintenance of the building (structural, computing, and audio-visual equipment), and ordering necessary office supplies.

  • Assist the Executive Director with the financial management and oversight of the restricted and unrestricted budgets by monitoring account transactions and processing journal entries and payments. Prepare and process all paperwork related to employees, students, and vendors.

  • Oversee maintenance of participant files in both TRIO programs’ online database as well as hard copy files. Manage demographic, attendance, and program data collection activities and assist with preparation of annual and grant reports. Ensure programming is registered with the appropriate ND systems: i.e. youth protection, Engage ND, etc.

  • Work closely with staff, participants, and parents/guardians; ensure timely accurate communication of program information and organized meetings. Assist with creating marketing materials to communicate a consistent message to participants and families, ND partners, and community partners. Assist with the oversight of all digital platforms.

  • Coordinate major TRIO events throughout the year including, but not limited to: Student & Parent Leadership Conference, Orientations, Annual Banquets, Open Houses, etc.

  • Provide support with the planning of project activities during the summer and academic year.

  • Other duties as assigned.

Minimum Qualifications

  • High School with at least one year of college education;
  • Excellent interpersonal, organizational, and written/oral communication skills;
  • At least three years of professional work experience;
  • Familiarity with Google Suite (Google Docs, Google Spreadsheets, etc.) and Office 365;
  • Ability to keep track of multiple task and meet deadlines with strong attention-to-detail;
  • Ability to interact with people from diverse backgrounds;
  • Curious demeanor.

Preferred Qualifications

  • Associate Degree or higher;
  • Office administrative experience;
  • Knowledge of University-related programs and procedures;
  • Experience with tracking budgets as well as guidelines for creating and monitoring grant budgets
