Summary of Position

Under general supervision of the Department Chair and Program Director, this position provides administrative support and coordination for the Nursing Department at the University of New Hampshire. This position typically provides initial contact for students, faculty, and others contacting the Nursing department office; manages and communicates information to undergraduate and graduate students and faculty members; manages student data and coordinates departmental events. The position works in collaboration with other members of the office staff and is under the direct supervision of the Department Chair.

This position is year round, in person, on the Durham, NH campus and will serve as the primary contact for the Health Sciences Simulation Center, coordinating inbound communication, receiving visitors, deliveries, and work crews.

Other minimum qualifications

  • High school graduation. Five years of office experience or five years of specialized training or higher education or any combination of experience and higher education equal to five years. Knowledge of office practices, procedures and use of electronic equipment as required by department.
  • Interpersonal skills to establish and maintain effective working relationships with faculty, staff, and students.
  • Strong organizational skills and effective oral and written communication skills
  • Ability to deal with people from a wide variety of backgrounds on a daily basis is essential.
  • Technical skills required include familiarity with MS Office (especially Word, Access, PowerPoint, and Excel), Adobe, and equipment such as scanners, copiers, projectors, etc.
  • This position includes ability to walk, stand, occasionally lift up to 25 pounds, operate standard office equipment. Must be able to walk across campus on a regular basis in all weather conditions to collect prospective students for tours, etc.

  • Familiarity with UNH systems such as BANNER, WEBI, Xtender, or equivalents, and web content management tools.

Duty/Responsibility

Serve as support in administrative matters for the department of nursing, particularly for department chairperson and nursing program coordinators.
Create and maintain accurate student records; collect and review clinical documents from students within departmental software platforms (currently Typhon); answer phone and email inquiries from students and public and refer callers; greet guests and students. Maintain confidentiality in communicating sensitive information and in handling confidential materials such as departmental records and files, personnel actions, grade reports, promotion and tenure decisions.

Duty/Responsibility

Create, utilize, and analyze complex information from data bases for faculty, UNH offices, and accreditation. Create and maintain accurate databases for student information. Coordinate student admission application review process and set up student files for new admits. Disseminate information from Banner, WEBi and other enterprise software for faculty. Prepare program reports from data bases as required by department.

Duty/Responsibility

Administrative support for faculty councils, faculty orientation, promotion and tenure committee, and task forces as they occur. Plan and coordinate departmental special events. Make arrangements for travel, meetings, conferences, including complicated conference arrangements, and prepare itinerary as requested. Receive deliveries and serve as primary contact for the Health Science Simulation Center (HSSC).

Duty/Responsibility

Purchase supplies, services and equipment for department in accordance with USNH guidelines; receive, sort, and distribute documents for filing; Operate office equipment and notify vendor when maintenance is required. Collect admission tour groups from Smith Hall and walk them to the HSSC for tours.
