Summary

The LSA Opportunity Hub at the University of Michigan is looking for a Student Experience Coordinator who will contribute to our mission to support students as they develop their aspirations and professional identities. We provide students access to internships, internship funding, professional opportunities, career coaching and exploration, and connections to employers and alums. Responsibilities*

The Student Experience Coordinator will perform a variety of professional responsibilities in support of the day-to-day operations of the Student Experience team and the Director of Student Experience in the Opportunity Hub. They will further the student-centered work of the LSA Opportunity Hub by coordinating the external collaboration requests from our campus partners, supporting the events planning efforts throughout the year and coordinating various HR related duties during our full-time and student staff hiring processes. This role reports to the Director of Student Experience.

40% - External Collaboration and Outreach

  • Coordinate all requests for collaboration received from external partners, including workshops, subject matter or About the Hub presentations, liaison partnerships, tabling at fairs, LSA Connect demos, etc. 
  • Manage intake and triage of all requests via ClickUp project management system
  • Triage communications between the requester and internal stakeholders within Hub departments
  • Serve as primary contact for all external requests
    • Monitor All Hub Inbox for collaboration requests and send Hub Collaboration Request Form to partners to inquire
    • Provide requesters with alternative resources and events if the Hub is unable to meet their request
  • Coordinate with Hub team representatives to ensure staff member capacity and availability when responding to requests
    • Communicate expectations and ensure rotation of requests move equitably through Hub teams, including student staff teams
  • Document communications and collaborations with partners in LSA Engage using the LSA Engage Note Guide and Protocol
    • Follow-up with Hub staff leading out requests to ensure collaboration is documented in LSA Engage
  • Track and document data of requests and responses to external partners for internal Hub use
    • Track which types of requests the Hub receives most frequently and during which months/ semesters
    • Track which partners request collaborations most frequently
    • Track data on collaborating with groups that represent underrepresented students
    • Share data with relevant teams and members in the Hub to further Hub Outreach goals
  • Hub Council
    • Calls for collaboration and deciding which areas will respond

25% - Events

  • Coordinate logistics including venues, AV, technical support, catering, student accommodation needs
  • Prepare and manage materials and supplies pre and post-event
  • Post events on platforms and calendars
  • Manage student RSVPs and coordinate student feedback survey
  • Provide onsite support during events. Events may be in-person, hybrid, or virtual.

20% - Administrative Support

  • Director of Student Experience - Calendar Management, Meeting and Project Management Support
    • Provide complex calendar management maximizing efficient use of directors’ time
    • Coordinate and support meetings as needed
    • Provide administrative support that is proactive and anticipates needs keeping the director well prepared and informed to ensure deadlines are being met and commitments are being kept
  • Travel and Expense
    • Make travel arrangements, prepare detailed itineraries, and manage travel expenses for the director and members of the Student Experience team without university-issued Pcards
  • Special projects as needed

15% - HR - SE Staff and Intern Employment

  • Coordinate staff employment searches for the SE team
  • Coordinate onboarding for new staff on the SE team
  • Coordinate intern hiring process
  • Assist with planning and facilitation of new intern orientation, professional development, and monthly all-intern meetings and supervisor meetings

Required Qualifications*

  • Bachelor’s degree
  • Strong communication skills
  • Experience organizing and building a variety of event types including logistical management, communication, and outreach strategies, and collaborating with internal and external partners
  • Demonstrated investment in issues of equity, access, and inclusion

Desired Qualifications*

  • Experience with higher education systems, policies, and procedures
  • Demonstrated experience using databases, including the ability to develop queries, create reports, and use the database as a client management tool
