Summary

The Law School’s Office of Student Records is currently seeking to hire a Student Administrative Assistant Senior to help facilitate and coordinate registra related duties. This position is an integral member of the Office of Student Records team. The Office facilitates course registration, examinations, and degree audits. It also maintains student records and provides curriculum and student record data as appropriate to internal and external requestors, including state bar licensing agencies. About the Office
The Office of Student Records (OSR) is a dynamic and fast-paced, services-oriented office that oversees administration of the following academic and student services: course schedule production, course bidding and registration, final exam administration, student records maintenance, degree and bar certifications, institutional reporting, grade reporting, and degree approval. In addition to supporting the Law School faculty and 1000+ JD, law graduate (LLM and SJD), and non-law graduate students, the OSR collaborates with many other administrative offices across the Law School and greater campus community.

Responsibilities*

Reporting to the Law School Registrar, the primary responsibilities of the Student Services Asst Sr. will be to:

  • Serve as the reporting and certification assistant to oversee data gathering and reporting for the Law School using Business Objects and other database-driven platforms
  • Report to University and external entities, certification of student records for current students and alumni
  • Support the Law School academic awarding process, and using best practices to report curriculum and registration data to various stakeholders
  • Oversee the management of the student record system for approximately 1000 active records and 30,000+ graduate records. 
  • Work toward creating a digital student record management system
  • Oversee the bar certification process for the February and July bar exams.
  • In addition to the primary responsibilities, this position will also be engaged in duties with other members of the Office of Student Records which include:
    • Exam coordination, including overseeing the administration of final exams, producing exam schedules, communicating with faculty and staff about exams, and maintaining records
    • Ensuring student compliance with Law School academic requirements and policies as established by the faculty
    • Providing key exam administration support for the fall and winter exam periods (e.g., assisting with the printing and reconciliation of exams, preparing exam materials, etc.)
    • Ensuring that proper entries are made into the MPathways system
    • Updating office web pages and the Law School’s Photo Directory
    • Providing administrative office support, as needed

Required Qualifications*

  • Bachelor’s Degree with at least two years related experience, or equivalent combination of education and experience
  • 2 or more years of experience working in higher education in a student services environment
  • Intermediate to advanced-level user of Microsoft Office Suite, specifically Excel and Access
  • Strong technical troubleshooting and problem-solving skills
  • Able to work independently and exercise initiative and excellent analytical judgment
  • Proficient at setting priorities, working simultaneously on numerous tasks, and meeting deadlines
  • Strong organizational and planning skills
  • Fast, independent learner able to navigate policy and technology
  • Excellent spoken and written communication skills
  • Diplomatic and discrete
  • Experience in a professional team oriented environment with a deep commitment to customer service

  • Experience working in higher education preferably in an academic services area
  • Writing and running queries in Business Objects and/or other database querying interfaces.
  • Comfortable using the Student Administration panels in MPathways.
  • Master’s Degree in a relevant field.
