Job Summary
Under the supervision of the Pre-College Readiness Coordinator or designee, the Office Assistant is responsible for providing direct secretarial and administrative support relating to the overall management of the Pre-College Readiness, Dual Enrollment and Early College offerings.
Supervisory Role
Oral and written instructions are received from the Pre-College Readiness Coordinator or designee. The Office Assistant may supervise support staff and student workers.
Duties & Responsibilities
1. Oversee office functions and activities for the general area.
2. Prepare and type memos, letters and required reports including purchase requisitions, as well as invoices.
3. Screen individuals coming into the office and direct to the appropriate staff person.
4. Maintain inventory of office supplies and determine need for ordering of in a timely basis to fit the need of the programs
5. Assist in the tracking of students as they complete programs and transition/transfer to the College.
6. Prepare, process and file purchase requisitions and invoices for the area.
7. Assist with the student registration process. Activities include, but not limited to, data entry, registration intake, processing of registration forms and other related tasks.
8. Assist in the preparation of invoices for third party billing to the various school districts and track payments accurately.
9. Establish and maintain and accurate filing system. 
10. Maintain strict confidentiality and security of student records.
11. Prepare routine, special and ancillary reports as required.
12. Perform other related duties as required.
