Summary of Position

Under broad supervision of designated supervisor, perform a variety of diverse program duties using independent judgment in applying and adapting departmental and federal guidelines, policies, and procedures in support of Plymouth State University’s PASS Office and TRIO Student Support Services. The position is responsible for hiring, training, and supervising student workers. It’s imperative this position maintain confidentiality in communicating sensitive information and in handling confidential materials, such as student records and financial status. Apply thorough knowledge of the operations and policies of the PASS Office and federal TRIO Student Support Services grant.

  1. High school graduation and four years of related experience involving duties of increasing responsibility requiring discretion and independent judgment, or a combination of higher education and related experience equal to four years.
  2. Advanced computer skills, including complex word processing, e-mail, spreadsheets, database management, use of search engines, keyboarding skills, and other software applications as required by hiring department/unit.
  3. Effective written and oral communication skills.
  4. Supervisory skills.
  5. Experience in public relations, office supervision, grant-funded programs, marketing, telecommunications or publications as specified by department.
  6. Organizational skills.
  7. Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.

Additional Preferred Qualifications

Duty/Responsibility

TRIO Grant and Tutoring Program
  • Adhere to legal requirements and regulations, such as HIPAA, FERPA, and federal TRIO Student Support Services; maintain confidentiality and discretion in using and conveying information of a sensitive and/or confidential nature, as assigned.
  • Research, communicate, interpret, and clarify program-related matters, laws, regulations, guidance and specific policy information in regards to compliance with federal TRIO and other external regulations. Assist in updating and/or developing policies and procedures and implementing compliance, as required.
  • Assist with budget development and monitoring of $300,000+ annual budget, including, but not limited to, student payroll (over 80 tutors and office workers); process payments and transfer transactions; purchase supplies, services, and equipment; and produce financial records as assigned. Research information, assist in preparing reports, and disseminate information as required. Coordinate application process for distribution of $86,000 in Grant Aid: collect applications, review and evaluate submitted documents, and contribute to the decision-making process.
  • Maintain database and filing system; perform data entry and retrieval using the PASS Web Application, Webi, Kronos, and Microsoft Access; create spreadsheets and reports; compile statistics; independently gather, analyze, and report data in evaluation and review of program activities.
  • Hire, train, evaluate, supervise, and manage payroll for student workers. Coordinate and participate in application process for Peer Mentor hiring: collect applications, review and evaluate submitted documents, schedule and participate in interviews.
  • Perform special functions for The PASS Office and TRIO, including maintaining and updating the website; coordinating needs for space, telecommunications, and technical support; developing forms and procedures for data collection. Additional project planning and monitoring, specialized communications (Marketing Cloud and Salesforce), and special projects and reports for TRIO Scholar Selection, Orientation, Open Houses, Accepted Student Days, etc.

Duty/Responsibility

Advising and Mentoring
Perform a wide array of complex responsibilities in support of Plymouth Academic Support Services, activities, project planning and monitoring, specialized communications, and special projects; including providing daily academic and non-academic counseling and advising to TRIO program participants and PASS student staff in academic and personal matters: assisting with registration, academic advising, financial literacy, and life skills for Plymouth Academic Support Services.

Educational Programs and Events
Initiate and maintain contact with internal and external departments, units, and/or organizations to coordinate program details, identify and resolve problems, and provide specialized program information. Participate in local and national organizations related to TRIO program. Attend meetings of appropriate Boards/Committees as delegated, with ability to respond to questions concerning related office issues, and to report meeting content to supervisor.

  • Create and prepare documents, such as agendas, presentations, reports, correspondence, and curriculum/course materials, by using business or academic program standards and/or technical/scientific protocols.
  • Arrange schedules, appointments, conference/Zoom calls, and meetings; and make complex travel arrangements.
  • Organize conferences and events, including making arrangements for staffing and technical support, facilities, registration, and catering; monitoring budgets; and providing information to participants.
  • Develop overall layout, design, editing, and format of publications, such as newsletters, promotional materials, posters, brochures, periodic statistical and/or progress reports, other written materials, and/or coordinate appropriate outreach and marketing activities as assigned. Create, prepare, and coordinate marketing and outreach materials, such as office bookmarks, ComPASS Newsletter, business cards, and other appropriate materials as needed.
  • Assist in initial contact with for students working with Campus Accessibility Services.
