The Institute Operations Coordinator (Coordinator) provides key support for the Eck Institute for Global Health (EIGH), a research institute at the University of Notre Dame. The EIGH serves as a university-wide enterprise that recognizes health as a fundamental human right and works to promote research, training, and service to advance health standards and reduce health disparities for all.
The Coordinator works closely with Institute Leadership to provide support to over 90 faculty affiliates, multiple funding initiatives, and education and training programs at all levels (Master of Science in Global Health, PhD fellowships and other internal funding opportunities, undergraduate club, and the Global Health minor).
Through event planning, budgeting and forecasting, and fostering community with other entities across campus and externally, the Coordinator supports the vision of the EIGH Director and helps to carry out the mission of the Institute.
The Coordinator’s key responsibilities include:
1. Manage and Oversee General Operations, Events and Institute Travel

1. Manage and Oversee General Operations, Events and Institute Travel
- Plan and execute Institute events and other public-facing activities
- Travel to and represent the Institute at conferences, and other Institute hosted events
- Explore additional Institute opportunities that will promote collaboration and cultivate intellectual community
- Plan and arrange Institute-related travel for EIGH leadership and faculty
2. Financial Management
- Monitor all Eck Institute funds, compare expenditures to program budgets and address any variances
- Prepare required annual financial reports and create new reports as requested by Leadership
- Prepare and process all Institute financial transactions, including payment requests and reimbursements, journal vouchers, purchase orders, deposits, travel advancements and labor distributions
3. Training Program Support
- Provide direction and support to EIGH education and training programs, including the undergraduate minor, global health club and ND Global Vase Competition
- Support EIGH leadership throughout the process of building and implementing the undergraduate minor in global health, eventually managing the annual operational needs for the minor
4. Faculty Support
- Provide direction and support to the Institute Director and Associate Director and other EIGH as requested
- Manage projects or programming for EIGH faculty
- Facilitate the faculty appointment, reappointment and promotion processes through the management and procurement of necessary documentation.
5. Budget Process Management
- Assist the Associate Director to manage the Institute’s budgeting process
- Use financial analysis to provide Leadership with accurate forecasts to help achieve the Director’s vision for the Institute
6. Manage Student Workers
- Draft and submit the Institute’s student job postings, manage the interview process and submit students jobs in the student employment system
- Handle day-to-day management of student workloads and schedules and approve student hours in Ultratime

Minimum Qualifications
Bachelor’s Degree in Science, Business, Finance or other relevant field
3-4 years of relevant work experience
Excellent organizational and time management skilled required
Ability to interface effectively with a variety of audiences
Demonstrated written and verbal communication excellence

Preferred Qualifications
Experience in an academic research setting and with budget preparation are strongly preferred
