Job Summary:

The Department of Mathematics at UW-Madison is seeking a Payroll and Benefits Specialist to join our talented administrative support team. One of the largest on campus, Mathematics is home to nearly 400 workers including faculty, academic staff, university staff, pre- and postdoctoral trainees; as well as graduate and undergraduate student employees. This position offers a dynamic and collaborative work environment including a broad range of challenging and varied responsibilities related to payroll and benefits. A successful candidate will be enthusiastic, motivated and have excellent interpersonal and organizational skills.
The person in this role will be expected to provide oversight and management of the department biweekly payroll including salary funding, leave accounting, summer payroll and processing of student appointments. You will also provide benefits support and assistance for new employee enrollments, annual benefits enrollment (ABE), employee benefits changes and related processes.

Responsibilities: Processes payroll, receives employee payroll changes, and provides routine human resources information to one or more work units in order to ensure timely and accurate payroll transaction processing. Maintains personnel records and assists with work unit operational policy development. Provides accurate, timely, and comprehensive benefit information and counseling to employees to assist audiences in understanding benefits eligibility, selection, and enrollment rules.
  • 20% Prepares, organizes, disseminates, and processes payroll and benefit resources, communications, and materials for one or more work units through various mediums under general supervision
  • 25% Prepares and audits standard work unit payrolls, and completes payroll transactions and changes adhering to established policies and procedures to meet anticipated deadlines
  • 10% Receives, responds to, and resolves employee payroll and benefit questions and problems
  • 5% Counsels new, existing, and terminating employees on payroll and benefit options, timelines, taxes, and deductions
  • 15% Assists employees with the completion of benefit enrollments, changes, and maintenance of employee records according to established policies and procedures
  • 5% Represents unit/program at payroll workshops, informational meetings, and training sessions
  • 5% Contributes to the development, implementation, interpretation, and revision of work unit Human Resources policies and procedures according to institutional and legal rules and regulations
  • 15% Prepares, organizes, and distributes employment documents for all student employees of the unit.

Qualifications:

Required Qualifications:
Minimum 1 year experience with one of the following: Payroll & Benefits administration, Human Resources Assistant, or processing financial transactions
Excellent verbal and written communication skills
Experience using Excel or Google Docs for coordinating, processing, and tracking data
Excellent interpersonal skills including ability to work with people from a wide variety of backgrounds, cultures, and levels of education
Preferred Qualifications:
Experience applying complex policies/procedures related to handling confidential information
Experience managing communications to employees regarding sensitive information
Experience comparing data from various sources to ensure accuracy in transactions and funding

Work Schedule:

General office hours are 7:45 - 4:30 M-F. Final work schedule will be determined at time of hire.

This position is primarily performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location after an initial period of training and evaluation.

Salary:

Minimum $21.00 HOURLY
Depending on Qualifications
The minimum starting wage for the position is $21.00 per hour but is negotiable based on experience and qualifications. Employees in this position can expect to receive benefits such as generous vacation, holidays, and paid time off; competitive insurances and saving accounts; retirement benefits.
