Position Summary

Big Bend Community College (BBCC), a rural college serving vibrant, culturally rich communities in the Columbia Basin of Central Washington invites applications for a Program Specialist 2 in the college's Workforce Education Division.

Under general direction, this position works collaboratively with program faculty and staff to provide instructional, student, and clerical support for Workforce Education programs such as Accounting/Business, Agriculture, Automotive Technology, Aviation, Aviation Maintenance Technology, Business Information Management (BIM), Commercial Driver’s License (CDL), Computer Science, Education/Early Childhood Education program, Industrial Systems Technology (IST), Manufacturing, Mechatronics, and Welding Technology.

This position reports to the Dean of Workforce Education and works collaboratively with others in a team environment in an effort to facilitate a positive experience for students.

Essential Job Duties

Primary essential duties and responsibilities include but will not be limited to the following:

  • Work collaboratively with program faculty to support instructional duties for courses offered in workforce programs; such as, preparing course documentation, grading assignments, providing course information, and supporting instruction on campus and at offsite locations.
  • Participate and support workforce education program/course outcomes and assessment.
  • Work closely with instructors to support campus, offsite, and online classroom environments.
  • Advise potential and continuing Workforce Education students.
  • Provide program information to potential students. Represent Workforce Education programs at internal and external outreach events. Schedule and coordinate student, course, and program orientations.
  • Work with campus resources to address admissions, registration, advising, and student financial issues.
  • Prepare updates and materials for regular meetings of the program advisory committee. Recruit for and participate in advisory committee meetings.
  • At the discretion of the dean, monitor the program budget. Track program expenditures.
  • Collect and prepare data for program reporting purposes running queriesto extract data from ctcLink or requesting data from the Institutional Research & Planning Department. Maintain student and program data.
  • Maintain security of program equipment and class/lab spaces.
  • Coordinate the creation and dissemination of promotional material, in collaboration with the Communications Office and program faculty. Coordinate updates and revisions to program webpages with the Communications Office.
  • Attend academic and student services meetings, as necessary.
  • Maintain positive relationships with K-12 partners and industry within the service district.
  • Support, facilitate, and perform clerical/administrative and lab assistant roles as needed. May supervise student workers.
  • Work closely with Admissions & Registration to ensure accurate coding of student records.
  • Maintain up-to-date, confidential student records and information.
  • Ensure confidentiality of customer information following the federal Family Education Rights and Privacy Act (FERPA), financial aid guidelines, and state and college regulations.

DUTIES OF THE POSITION REQUIRE EXPERIENCE AND KNOWLEDGE IN:

  • Experience using computers, spreadsheets, data entry and retrieval systems, and word processing software including Excel, Word, and Outlook to accomplish daily work.
  • Experience entering and extracting data from database applications.
  • Experience with including prioritizing tasks, keeping track of information or work in progress, ensuring accuracy, multi-tasking, handling interruptions effectively, meeting competing deadlines.

  • Demonstrate competency in ability to provide service in a multicultural environment.

REQUIRED WORK SCHEDULE AND WORK ENVIRONMENT:

Basic work schedule is 7:30 am to 4:30 pm, Monday through Thursday and 7:30 am to 2:00 pm on Friday. Ability to work flexible hours, including weekends and evenings. Hours may be adjusted to meet the needs of the department.

Work is sedentary in nature with frequent repetitive hand and wrist motions. Frequent use of computer and exposure to terminal screens in performing work assignments. Frequent need for oral and auditory communications. Occasionally kneel, stoop, crouch, crawl, reach, and lift and carry up to 25 lbs., unassisted. Ability to communicate using verbal and/or written skills for accurate exchange of information with faculty, staff, professionals, students, and the public.

Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree from a regionally accredited institution. An equivalent combination of education and experience may substitute for the degree requirement.
  • One (1) year of work experience coordinating a program, preferably in an educational setting.

DESIRABLE QUALIFICATIONS:

  • Previous teaching/training/tutor experience.
  • Familiarity with Canvas or equivalent learning management systems.
  • Previous experience working in higher education.
  • Experience with data management such as collecting, storing, analyzing, and reporting.
  • Bilingual (English/Spanish).
