Program Manager

Job Description


The Environmental Resilience Institute (ERI) at the University of Virginia (UVA) seeks a Program Manager to support postdoctoral and practitioner programming. The manager will administer the Climate Fellows postdoctoral program as well as the Practitioner Fellows program.

The Environmental Resilience Institute is the hub of environmental resilience and sustainability research at UVA. The institute supports interdisciplinary research and training at the intersection of environmental change and human well-being by connecting faculty, students, and citizens together to foster a more resilient and sustainable future.

The Program Manager supports multiple programs with approximately 60% of their time managing Climate Fellows, 30% of their time on Practitioner Fellows, and 10% of their time support the team in other areas.

The Program Manager will report to the Director and will be responsible for executing the fellowship programs successfully, in consultation with the senior leadership team and associated faculty.  

This an in-office position located in the newly renovated space for the Institute on Charlottesville’s Downtown Mall.  This position has a 5-year restricted term with possibility of extension based on funding.

Duties & Responsibilities Include:

  • Working with the Leadership Team to recruit and identify promising postdoctoral candidates, specifically targeting traditionally underrepresented groups;

  • Working with faculty across schools and institutes to identify needs for postdoctoral fellows;

  • Handling the administrative aspects of the postdoctoral fellow hiring process, including advertising, evaluating candidates, interviewing, and visa support when necessary;

  • Developing and administering orientation procedures for the new cohorts of fellows,

  • Facilitating cohesion among the postdocs through meetups, working groups, seminars, and discussions;

  • Responding to issues that may arise, bringing them to the attention of the Leadership Team as appropriate;

  • Leading and monitoring diversity, equity, and inclusion activities;

  • Work with UVA faculty to recruit distinguished practitioners (Sustainability Fellows) to the University for residences of up to one year;

  • Facilitate and administer the Practitioner Fellows program including nominations of potential fellows, consultations with faculty, developing events such as a lecture series or conference, external engagement opportunities, etc.;

  • Support the development and maintenance of the institutes’ web infrastructure including the Expert Directory;

  • Develop the culture of the institute’s downtown office to create a compelling and open environment that is a shared space for researchers, staff, faculty, and community partners to collaboratively learn together; and

  • Other tasks as required to support the institute’s mission

Required Qualifications:

  • Bachelor's degree plus 3 – 5 years of relevant experience in project management

  • Experience in programmatic and administrative support in an office setting

  • Ability to build and foster professional relationships, and to work both independently and as part of a team.

  • Ability to handle multiple projects simultaneously, determine priorities, and meet deadlines.

  • Track record of taking the initiative and being flexible in a dynamic work environment.

  • Thoughtful, transparent, and collaborative with a service leader mindset.

  • Supportive of a diverse, equitable, and inclusive work environment.

Preferred Qualifications:

  • Preferred applicants will have experience in the administration of higher education academic environments with an emphasis on science, technology, and engineering fields

  • Experience managing other fellowship programs

  • Experience developing and maintaining websites, CRM, and telework technologies

  • Experience with outreach programs

  • Strong writing and organizational skills

  • Proficient in Microsoft Office

  • Superlative people and professional-level communication skills, both written and verbal,

  • Demonstrated experience of working with individuals from a variety of backgrounds.

Anticipated Hiring Range: $80,000 - $90,000 dependent on qualifications and experience.

Physical Demands:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
