South Puget Sound Community College (SPSCC) seeks a highly motivated and qualified individual for the position of Program Coordinator in Corporate & Continuing Education (CCE).

The Program Coordinator reports directly to the Director of Operations and Strategic Programming and is responsible for coordinating duties for the Corporate Training Programs administered at the Lacey Campus. The programs administered by this department support Workforce Education and are designed to be responsive to community needs. Work hours are 7:00am-4:00pm Monday through Friday. Position is primarily at the Lacey Campus but is eligible for partial remote work depending on business needs and approval of the supervisor. Typical summer schedule is 10-hour days Monday through Thursday with exact times determined in coordination with supervisor.

What You'll Do

 

Corporate Training Program Coordination and Support:

  • Update and verify accuracy of Profit Manager daily
  • Enter enrollment numbers for tech and professional development trainings
  • Coordinate class and program needs for both onsite and offsite, including materials, classroom setup, IT work orders and Facility work orders.
  • Manage certificate process including: build and maintain certification tracking spreadsheet; produce course level and final certificates as needed; maintain inventory of certification recognition materials; coordinate certificate award process with instructors and administration, act as point of contact for customers regarding their certificate status.
  • Reconciliation of class rosters for tech and professional development classes, ensuring data is separated for DES enrollments vs. CCE enrollments. Preparation of A19s. Reconciliation and invoicing for pass through trainings.
  • Prepare reports for program specific data as requested.
  • Maintain Exit Coding spreadsheets and report end of quarter numbers to appropriate department.
  • Process instructor contracts through Faculty Workload in ctcLink.

 

AM Lacey Campus Program Support:

  • Checking contract classrooms for accuracy of materials and set-up for daytime classes. Breaking down of evening class materials as necessary. Ensure public areas are clean and well-organized prior to campus opening.
  • Checking in with instructors before classes begin to ensure class needs are being met.
  • Point of contact for instructors with questions regarding class paperwork, enrollment issues, working with appropriate college offices and computer systems for coordination of changes.
  • Register students as needed and provide back-up coverage for Registration office.
  • Log in to registration call center by 7:30am. Check messages left on phone, returning or forwarding messages as appropriate.
  • Assisting telephone and walk-in customers.
  • Provide information and advice to program participants or potential program participants regarding trainings.
  • Assisting instructors, students, staff and faculty with requests, as appropriate.

 

DES Contract Coordination:

  • Maintaining the contract file of amendments and work orders from DES master contracts.
  • Coordinate processing of signatures on paperwork.
  • Daily communication regarding enrollment management, assist with Go/No Go process and contracting paperwork.
  • Responsible for checking accuracy of information on DES paperwork using budgets and course documents created by Administration.
  • Data input of contract and amendment content into the database for tracking purposes.

Course Construction for Classes:

  • Scheduling instructors using class frequency tables, ensuring schedules comply with applicable policies, procedures and program needs.
  • Build courses in ctcLink and database. Edit descriptions in CampusCE as necessary.
  • Build class sections in ctcLink and database. Make adjustments in CampusCE as necessary.
  • Coordinate and assist with data entry of training classes in Course Management systems, including 25 Live, and cross reference to check accuracy.
  • Work with Administration to submit new courses to DES for approval.
  • Regularly check DES and CCE website for accuracy of course details.
  • Follow class cancellation process as needed.

Single Agency Course Management:

  • Coordinate class and program needs as set forth in contracts. Assisting instructors and students with requests and class needs, as appropriate.
  • Creation of course in database with administrative input.
  • Prepare A19s and initiate payment process for instructors.

Attend meetings and/or conferences:

  • Attend meetings and/or conferences as a program representative.
  • Attend weekly operations meetings and play an important role in recognizing and communicating potential issues to the team.

Other Duties:

  • Perform other assigned duties as required or appropriate, including but not limited to acting as back up to peer duties as requested or instructed by Administration.

 

Qualifications You Possess

Minimum Qualifications:


  • High school graduation or equivalent AND two years of experience in a program specialty area OR equivalent education/experience.

  • Position requires high degree of accuracy and attention to detail.
  • Excellent communication skills and the ability to work well with others and function as a team member.
  • Advanced knowledge of computers and software applications, specifically MS Office: Outlook, Word, Excel, Access and PowerPoint.
