POSITION DESCRIPTION

Title: Special Events Manager

Reports to: Director of Development

Salary Range: $45,000 - $57,000

Location: Berlin, WI

Job Status: Full-time (position may offer some remote work opportunities)

Job Summary:

This is a full-time salaried position that leads the special events and marketing efforts of the Boys & Girls Club of the Tri-County Area. The employee can expect to spend more than half of their time focusing on special event planning, procurement, logistics, event execution, and donor relationships to help meet the fundraising goals of the organization. Will evaluate and report results with recommendations for modifying events to improve success. Marketing responsibilities comprise the remainder of the position. Employee will identify and create opportunities to build public awareness of Club services, programs and activities and grow engagement. Employee will adapt or create messages and vehicles for promoting upcoming events or programs to the public and members, including newsletters, public service announcements, press releases, flyers, etc. Evaluate success of strategy, materials and media and modify as necessary. Work closely with program and management staff to determine potential audiences and best approaches. This position will work closely with the CEO, director of development, & board leadership. It is the responsibility of every staff member to cultivate and maintain positive donor relationships.

Qualifications:

  • Bachelor’s Degree or equivalent preferred in the area of marketing, development, hospitality, event management or related field.
  • Three years proven, successful experience in event management, with an emphasis on marketing, fundraising, development or equivalent experience.
  • Hyper-organized with an acute attention for detail.
  • Self-starter with the ability to meet deadlines.
  • Successful experience in carrying out the mission of a nonprofit organization.
  • Exceptional verbal, written communication and organizational skills.
  • Proven ability to develop and maintain effective working relationships and partnerships with donors, community groups, board members, volunteers, staff and other agencies.
  • Competency with technology a must. Must have or be able to quickly learn skills related to MS Office, Greater Giving, Constant Contact, Word Press (website) and Adobe

Creative Suite.

  • Must have a valid driver’s license and good driving record.
  • Must pass pre-employment drug test.

Primary Responsibilities:

  • Special Events (65%); Marketing (30%); Other (5%)
  • Work with the director of development to coordinate, implement and support organizational strategies for fundraising, marketing, and special events.
  • Chairs and executes all fundraising events (i.e. Wearin’ & $harin’ the Green) to meet or exceed the budgeted goal. Leads board members on the committee level.
  • Coordinates and manages all aspects of events including event timeline, venue selection and relationships, contract negotiations, booking talent, data management, catering, volunteer coordination, procurement and on-site event logistics.
  • Leads all special event committees comprised of board and community members.
  • Coordinates all meetings and keep all meeting minutes.
  • Manage multiple projects/events simultaneously with precision and attention to detail.
  • Creates content for weekly articles, press releases, media alerts, newsletter articles, e- blasts, social media, print mailers, etc. to promote public awareness of the Club in the community.
  • Manage website content, updating regularly.
  • Takes photos of all club programs and archive all photos, news materials and publications.
  • Coordinates the plan & implementation of all marketing and public relations materials and activities to increase the visibility of Club programs and services.
  • Leverage all types of media to optimize reach and grow awareness (social media, print, video, face-to-face).
  • Directs the efforts of the subcontracted graphic designer.
  • Maintains primary relationship with the printer. Plans all print projects in advance and meets all print deadlines.
  • Manage constant contact account.
  • Develops and adhere to a marketing plan.
  • Develop, engage and lead a highly competent volunteer marketing committee.
  • Mandated child abuse reporter.

Secondary Responsibilities:

  • Create marketing materials on an as needed basis for program staff (event promotion flyers, program books, bulletin boards, etc…)
  • Develop collaborative partnerships with Club staff, volunteers, members, supporters, other Clubs, media contacts, consultants and vendors, and other non-profit organizations to establish professional links within the community.
  • Attend board meetings when needed.
  • Support the efforts of the strategic plan as outlined.
  • Support in-Club special events for programs (i.e. Adopt-a-Family, Operation Backpack, Great Futures Celebration, Coats for Kids, etc…).
  • Submit monthly marketing report based on calendar objectives to the CEO and the board of directors.

Physical and Mental Requirements:

  • Ability to sit and stand for long periods of time.
  • Must be able to lift up to 50 lbs.
  • Ability to think clearly and concisely.
  • Ability to work with limited supervision.
  • Ability to go up and down stairs.
