Montgomery College, Rockville Campus, has an immediate need for a full-time Administrative Aide II position in the School of Education department. The work schedule is Monday to Friday 8:30 a.m. to 5:00 p.m. This is a bargaining position, non-exempt, grade 19 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Duties include but are not limited to:

  • Office Administration
  • Serves as liaison between departments, programs, students and the College community, and the general public. 
  • Works directly with the Director and Department Chair, coordinators, and faculty, performing duties that include greeting and directing students and visitors; answering telephone calls and providing assistance to callers; managing mail; processing miscellaneous forms; and preparing reports.
  • Manages the use of P-card including online purchasing of supplies, reporting of expenses, and maintaining transaction logs; coordinates purchases through Procurement when needed.
  • Monitors budget accounts for the Education Department and School of Education including honorarium, instructional/office supplies, local travel, professional development, and student aide payrolls.
  • Communicates with Facilities regarding the need for keys and swipe cards; communicates with IT regarding e-mail set-up, equipment needs, and repairs.
  • Inputs faculty load into Banner and verifies ESH; monitors to assure all faculty teaching loads meet the requirements of the college and reports any issues to the department chair and dean.  Prepares and processes personnel action forms.
  • Supervises student aides for handling materials to be reproduced, answering phone calls, distributing messages, and other assigned duties.
  • Program Support
  • Creates and/or formats instructional materials or other needed print products for use by faculty and students; updates and maintains the School of Education website. Coordinates the reproduction and collating of instructional and related materials.
  • Assists department chair and coordinators with planning, verifying, and correcting class schedules for each semester and summer sessions; maintains teaching schedule and office hours listings for all faculty to be posted and for reference for students.
  • Works with Director and other faculty to coordinate various meetings and events such as the biannual Program Fair, annual Education Transfer Fair, information sessions, faculty meetings, advisory board meetings, etc.
  • Accesses student information from the Banner system and prints class rosters as needed.
  • Assembles and coordinates online textbook orders; works with the department chair and dean's office to coordinate faculty and student evaluations.
  • Communicates with the general public, students, and the college community with information regarding class cancellations, moves, department activities, etc.

Required Qualifications:

  • High school diploma or GED including or supplemented by courses in word processing and office practices.
  • At least three years of progressively responsible experience performing general office and secretarial duties involving customer service.
  • Knowledge of: office support procedures and practice; English usage to include spelling, grammar, writing styles and formats; basic mathematical computations; record-keeping principles and procedures; and, PC hardware and skill in using PC software and office applications.
  • Ability to draft written correspondence, interact with the public and staff, and manage multiple projects. Ability to exercise confidentiality.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship

Salary Range: $20.99 to $26.24 (hourly). Initial salary placement is based on candidate experience and internal equity
