FLSA STATUS: Fulltime, Exempt
COMPENSATION: $75k - $85k annually

PRIMARY FUNCTION:
The Accounting & Operations Manager reports to the Vice President of Finance. This position will have multiple responsibilities across finance and operations to ensure that the organization’s daily accounting and operations functions run accurately and effectively. This role is accountable for ensuring the non-profit organization has an auditable set of financial statements, well-documented financial controls, and effective internal procedures.
KEY ROLES (Essential Job Responsibilities):

  • Transactional activities including accounts payable, accounts receivable (revenue recognition and billing), general accounting, reconciliations, month-end close, and maintaining workpapers.
  • Reviews check requests, Requests for Purchase, Mileage Reimbursement request, Petty Cash Replenishment request, and other accounting documents submitted by program directors/supervisors/managers for payment processing. See to it that these requests are supported by required documents and duly approved by authorized officers.
  • Petty Cash, In-Kind Gifts and Scholarship reconciliation.
  • Risk Management: Obtain certificate of insurance and auto Insurance cards for staff drivers.
  • Assist with the preparation of the annual financial audit and funder monitoring reviews.
  • Prepare grant reports, monitor grant expenditures and work with program staff on maximizing grant use.
  • Generate monthly financial reports from Xero, Kid Trax, Bill.com and as needed.
  • Communicating with branch directors and other faculty to determine site needs to ensure site maintenance such as Facility, Safety, Vehicle and Information Technology needs.
  • Recommending and implementing improvements to accounting, operations, internal controls, and compliance policies and procedures, supporting best practices.
  • Coordinate the maintenance of the organization’s permanent records in compliance with the retention policy. Manage accounting and operations related inventory and documentation.
  • Oversee preparation and mailing of end of year 1099 forms for independent contractors.
  • Serve as backup for other positions in the department as needed.
  • May be assigned other tasks in support of department and organization goals.

Requirements:SKILLS AND COMPTETENCIES REQUIRED:

  • Maintain excellent rapport with supervisor, staff, colleagues, volunteers, community members and others for the purpose of exchange of information.
  • Maintain positive relationships with outside vendors, meeting them on-site for the purposes of site maintenance, as needed.
  • Exceptional work ethic, well organized and self-motivated.
  • Experience working independently and managing time efficiently.
  • Proven ability to multi-task, meet deadlines, and prioritize to meet goals and objectives.
  • A team player who enjoys working with others and aligning to achieve higher strategic goals and objectives for youth.
  • Skill in using standard software packages (e.g., Word, Excel, PowerPoint, Outlook, SharePoint) and finance and accounting applications Xero, Bill.com, etc.
  • Strong organizational skills, detail orientation, and accuracy.
  • Ethics and personal and professional integrity are a must.

QUALIFICATIONS

  • Bachelor's degree in Accounting or Finance. CPA or MBA preferred.
  • 2 - 5 years of professional and progressive work experience.
  • Clear understanding of Chart of Accounts.
  • Thorough knowledge of U.S. GAAP.
  • High attention to detail and the ability to manipulate/analyze large amounts of data.
  • Experience working in a non-profit organization.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

  • Able to remain stationary at long periods of time while working on computer.
  • Frequently lifts, carries and positions objects weighing up to 30 pounds when moving supplies.
  • Typically stands, bends, stoops and crouches.
  • Regularly moves about the facility to coordinate work.
