Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Specialist for the Ernest Mario School of Pharmacy.
Among the key duties of this position are the following:
  • Manages and supervises daily operations encompassing a wide range of business activities, including finance, budget, and grant accounting, as well as the administration of policies, grant administration (pre-award, post-award and contracts), space and facilities planning, purchasing and academic support.
  • Analyzes and reviews financial data; forecasts and develops budgets.
  • Manages and resolves financial issues and implements university policies and procedures.
  • Acts as a preparer for Commit Accounting in HCM and monitors all payroll accounts relating to grants or non-grants.
  • Assists faculty in grant applications.
  • Monitors fiscal compliance and enforces applicable regulations (e.g., state, federal, grant, and University).
  • Acts as a liaison to ensure the integration of Department business activities with corresponding functions at the departmental, School of Pharmacy and university level.
  • Administration of department space and facilities planning, purchasing, academic support, personnel/payroll.

  • Responsible for appointments and promotions and organizing department recruitment efforts of tenured and nontenured research faculty and all other personnel.
  • Provides support for all department courses.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s degree or an equivalent combination of education and/or experience.
  • Two years of relevant experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent communication skills, computer literacy, problem solving skills and the ability to work both independently and as a team member.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint etc.), bookkeeping skills, database management, email application and the ability to learn other management systems such as Canvas, Oracle, Marketplace, ROCS, RAPSS etc.
Preferred Qualifications
  • Strong knowledge of grant administration.

  • Software including Microsoft Excel, Microsoft Word, Outlook, Adobe, Oracle (financial management & Marketplace).

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same.
