Posting Summary
Rutgers University- Newark (RU-N), an urban public research and anchor institution, located in Newark New Jersey, a city of promise is seeking an Associate Registrar. Reports directly to the Newark Registrar, this position is responsible for new student registration as well as indirect supervision of registration records and transcripts for the 12,000 students registered in 10 graduate and undergraduate colleges in Rutgers University Newark.
This position is responsible for and not limited to the following.
  • Responsible for the day-to-day services of the Registrar’s office
  • Manages personnel and operational matters related to academic record maintenance and registration activities, including customer service components
  • Works closely with the Registrar in fulfilling the responsibilities for the integrity and security of the student academic data, the effectiveness and efficiency of the registration system, and the management of all student records
  • Oversees student semester course registration and enrollments, recording of semester grades and grade changes, certifies and updates enrollment status and degree completion, oversight of summer and Winter Session registration, and serves as the Certifying School Official for the Veterans Administration in managing VA educational benefits
  • Provides leadership to staff and ensures the development and implementation of policies and procedures for managing the Office of the Registrar
  • Represents the Registrar as directed and provides a high quality of customer assistance and leadership on special projects
  • Manages of areas that include course registration for all programs including cross registration with NJIT, RBHS, Essex County College, Summer- Winter Sessions and special programs, development of registration calendars, final grade reporting/processing, and coordinating and updating student records, and oversight of National Student Clearinghouse

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s degree plus five years progressively responsible management and supervisory experience in a Registrar’s Office

Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • A strong record of administrative experience with proven leadership ability and desire to work collaboratively with diverse constituencies
  • An understanding of integrated student information systems, Banner. Working knowledge of database systems and data extraction required
  • Excellent written, oral and interpersonal skills and ability to work under pressure in a fast-paced environment
  • Understanding of federal and state laws that apply to student records management and ability to serve students, faculty and administrative users in a professional and courteous manner Demonstrated strong organizational skills, communications skills, and interpersonal skills are essential
  • Must have experience with Microsoft Office Suite and knowledge of or training on a learning management system
  • Ability to analyze and interpret data.
  • Excellent interpersonal, written and verbal communication
Preferred Qualifications
  • Master’s Degree Preferred
Equipment Utilized
  • Must have experience with the Student Records Database (IMS), Banner and knowledge of multiple Rutgers systems and Microsoft Office 365

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals , if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply. Prospective employees should speak with their hiring manager to determine which policies apply to the role or position for which they are applying. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
