Job Description

ADMINISTRATIVE ASSISTANT 2, Chemical Engineering (ChemE) (2 openings), to provide administrative support to faculty members and colleagues.  Will ensure the smooth operation of faculty research groups by providing administrative, academic, operations, and some finance and HR support; and provide project-specific and event planning support to the department, specifically in the capacity of permanent administrative floater.  Responsibilities include serving as the main administrative point of contact for addressing queries and for class materials preparation; assisting with coordinating class-related activities, e.g., classroom booking/preparation, catering, exam coordination, etc.; making travel arrangements and preparing expense reports; calendar management; coordinating event/meeting logistics, e.g., advertising, booking rooms, arranging catering, etc.; performing basic library and web searches; assisting with the financial review and control process, processing reimbursements, reconciling ProCard charges, purchasing, etc.; assisting ChemE HR staff with academic appointments, including appointment/visa tracking, funding confirmation, etc.; coordinating site visits; assisting with preparing grant-related materials and research project and discretionary account spending and reviewing monthly accounting statements; assisting the communications officer and other headquarters staff as needed; maintaining web pages and databases; and other duties as requested.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; three years’ administrative experience; excellent organizational and communication skills; proficiency with Microsoft Office (Word, Excel, PowerPoint, FileMaker, Outlook); ability to identify and learn new programs/software as needed; attention to detail and quality; discretion and good judgment with confidential information/matters; and ability to handle multiple tasks concurrently, demonstrate flexibility, adjust to various working styles/systems, interact effectively with diverse groups of people, and work independently and as part of a team. PREFERRED:  bachelor’s degree, SAP and Dropbox proficiency, event planning experience, and MIT experience.  Job #22344-5
