Position Focus:

The Wu Tsai Institute is an interdisciplinary neuroscience initiative at Yale University founded in 2021 with the mission to understand human cognition and explore human potential. Marking a strategic, cross-university investment by Yale, the Institute unites researchers, departments, and schools at 100 College Street, the Institute's home once it opens in summer 2023. The Institute stimulates research across disciplines such as biology, cognitive science, computer science, data science, engineering, neuroscience and psychology through funding mechanisms and access to state-of-the-art technology and resources. The Institute advances integrative and inclusive approaches to science through its fellowships and programming for faculty, students, and postdoctoral researchers across the Yale community.

Reporting to the Managing Director and working closely with the faculty leadership of the Institute, the Executive Associate at the Wu Tsai Institute provides centralized support for projects of high institutional priority, including but not limited to faculty hiring, governance, and signature meetings and events. Represents the Office of the Institute Director regarding administrative tasks with multiple offices, departments, and schools across the University as well as with external groups including security teams, media, and corporate entities. Drives smooth day-to-day functions of key leaders, including calendar management. The incumbent possesses a high degree of familiarity with the Institute’s mission and goals to effectively execute, position, and represent the Institute’s activities.

Essential Duties

1. Administers a department program, processes and/or workflows. Aligns with department mission and goals. 2. Works closely with department leadership and colleagues to help ensure success. Develops activities, monitors effectiveness, and identifies potential areas of improvement or change. 3. Manages administration including use of resources. 4. Conducts outreach and communications as needed. 5. Performs other duties as assigned.


Required Education and Experience

Bachelor's degree and one year of related experience or an equivalent combination of education and experience.


Required Skill/Ability 1:

Proven proficiency in executing on multiple and overlapping projects, working with high-level administrators/executives. Highly organized, detail-oriented, and thorough. Ability to prioritize and meet multiple deadlines and resolve complex issues using good judgment. Ability to work under pressure and with interruptions. Demonstrated reliability and dependability.


Required Skill/Ability 2:

Well-developed written and verbal communication. Prepare and format reports and/or presentation material. Ability to maintain strict confidentiality and deal in a sensitive manner with diverse groups of people with matters requiring discretion and good judgment. Ability to interact personably and professionally with groups and senior stakeholders.


Required Skill/Ability 3:

Track record of being dynamic and adapting to the changing needs of a growing organization. Ability to respond positively to unique, unforeseen, or unusual circumstances. Proven ability to understand and implement non-routine instructions and general policy statements.


Required Skill/Ability 4:

Support formal meetings. History of managing calendars of senior personnel and coordinating complex calendaring requests. Demonstrated proficiency and excellent customer service with making domestic and international travel arrangements and organizing meeting schedules and visit itineraries.


Required Skill/Ability 5:

Proficiency with office applications (e.g. Word, Excel, PowerPoint), calendaring software (e.g. Outlook), and file sharing (e.g. Box, Dropbox, Google Drive). Ability to adopt new applications for managing specific workflows, some specific to Yale systems.


Preferred Education, Experience and Skills:

Bachelor’s Degree. Experience working in a complex, fast-paced organization, with multiple stakeholder groups.
