Job Description Summary
This position will provide accounting and administrative support to Facilities Support and Plant Operations. The Administrator will manage purchase cards, gas credit cards, requisitions, reconciling invoices, all general college insurance claims and invoicing, certificates of insurance, and student accident insurance claims.

Duties
1. Provides accounting and administrative support to Facilities Support and Plant Operations to include but not limited to, entering requisitions in E-procurement, reconciling invoices and purchase orders, and assisting with construction bids and purchase and contract bids.
2. Handles all student accident insurance claims and forms, certificates of insurance, and any college-wide insurance claims.
3. Develops and maintains an inventory of college owned and leased vehicles and a list of drivers for these vehicles. Maintains a spreadsheet of vehicle inspections for our mechanic. Adds and deletes vehicles from the college insurance policy. Submits employee driver’s license information to the insurance provider.
4. Develops and maintains a database of all College insurance policies and expiration dates.
5. Manages and reconciles $125,000 worth of purchase card receipts and expenses in Bank of America Works system for Facilities Support and Plant Operations department.
6. Assists with Energy Manager program for utilities.
7. Reconciles gas receipts for Facilities Support and Plant Operations departments and oversees distribution of WEX Fuel cards for entire college.
8. Assists Director, Facilities Support with selling surplus items on GovDeals.
9. Reconciles Facilities Utilization Report on a yearly basis.
10. Handles general phone inquiries for Facilities Support and Plant Operations and directs calls to appropriate people.
11. Assists Director, Facilities Support with reporting for State Construction (such as HUB reports) and State Energy Office.
12. Coordinate and manage intern duties for Project Search intern in Fall and Spring Semester.
13. Performs general office duties to include scanning, filing etc.
14. Contributes to the College Vision, Mission, Values, and RISE statement.
15. Supports workforce diversity in all its aspects.
16. Performs other duties as assigned.

Minimum Requirements (Applicant must meet all of the minimum requirements)
1. Bachelor’s Degree in Accounting, Business Administration or related field;
2. Five years of full-time or equivalent office administration work experience;
3. Experience using Microsoft Office products, including Excel and Word.

Preferred Qualifications
1. Experience with Adobe Acrobat and Adobe Sign.
2. Experience working with insurance products and services.
3. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.

Your total compensation goes beyond this maximum salary. Your A-B Tech benefits represent nearly 30% of your total compensation.

The total compensation for this position includes an 24.5% employer contribution to a defined pension plan, contributions towards medical and dental policies and fully funded life insurance / accidental death & dismemberment policy.
