Overview
The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Systems Support Specialist for the Department of Planning, Development, and Design. Under the direction of the Executive Director of Space Management and the Manager Supervisor (proposed) within Space Management, this position is responsible for technical and specialized tasks associated with field verification of space, computer-aided drafting, and management of Rutgers space data.
Among the key duties of this position are the following:
  • Responsible for documentation and management of all data associated with over 30 million gross square feet of owned and leased space on and off Rutgers University campuses, and the Office ensures that university space allocations are documented to accurately reflect uses associated with the University’s academic, research, and clinical missions.
  • Responsible for a variety of tasks including collecting, editing, analyzing, and auditing all necessary field measurements and relevant space data in order to create or update AutoCAD floor plans for owned and leased University space. This data and the associated AutoCAD drawings are then loaded into Archibus, the University’s space management system.
  • Conduct physical site surveys on campus and at offsite locations.
  • Interface with department administrators, unit space representatives, and occupants to gather necessary space management data (ownership, room use, etc.).
  • Review data for accuracy, completeness of documentation, and reliability, and evaluate incoming data against existing data to resolve inconsistencies.
  • Prepare sketches and notes, take photos, and perform electronic data collection.
  • Analyze and assign data codes based on established University standards for university management and systems, including but not limited to Responsibility Center Management (RCM) and Facilities and Administration (F&A) reporting.
  • Prepare (or update existing) AutoCAD floor plans based on gathered fieldwork, and load all pertinent data into Archibus.
  • Perform regular audits on existing drawings for necessary updates.
  • Perform trouble-shooting with department when AutoCAD and data integration does not work properly.
  • Field-verify the accuracy of final as-built drawings for capital and non-capital projects completed by IP&O departments. When required, convert Revit drawings to AutoCAD, eliminate unnecessary layers, and load into Archibus.
  • Perform other duties as required by departmental and divisional needs, as assigned by supervisor and Executive Director.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree or an equivalent combination of education and/or experience.
  • A minimum of two years relevant experience, preferably working with AutoCAD and Revit.

Certifications/Licenses
  • Valid drivers license required
Required Knowledge, Skills, and Abilities
  • Experience with CAD support and incident resolution, as well as site measurement and documentation.
  • Must be computer literate and have good written and oral communication skills.

  • Ability to interpret a variety of instructions furnished in written, oral, or diagram form.
  • Candidate must be able to work independently, as well as part of a team.
Preferred Qualifications
  • Three years minimum of AutoCAD experience and two years of Revit experience required.
  • Proficiency with Archibus space management software is preferred.
Equipment Utilized
  • Proficiency in standard office equipment and Microsoft Office platform required.
  • Proficiency in Computer Aided Design (CAD) software and hardware required.
  • Proficiency using devices and equipment for field measurement required.
Physical Demands and Work Environment
  • Duties of this position will be undertaken in a standard office environment as well as in the field.
  • The position may require up to a full day of field data collection, as well as travel to various campuses and off-site locations.
  • This position requires prolonged standing and walking.
