Summary

Reporting to the Chief of Staff and Sr. HR Advisor you will provide administrative support to the Office of the Provost serving as the first point of contact for the office. The front desk coordinator is responsible for answering the main phone line, greeting and receiving visitors, processing deliveries, and maintaining the general office and kitchen supplies. As a member of the Provost's Office team, they will also provide backup clerical support as needed. This position will be located onsite at the Ann Arbor, MI campus location.

Responsibilities*

  • Be the first point of contact for the Office of the Provost

  • Triage phone calls and welcome visitors to the office in a friendly professional manner

  • Review, scan, and process incoming mail

  • Respond to general office email inquiries

  • Maintain electronic office files

  • Troubleshoot office equipment, call for repair when needed, and place facilities work orders

  • Organize in-house events; order catering, reserve rooms, set up/take down

  • Coordinate and set up lunches for office meetings

  • Order and stock office and kitchen supplies

  • Provide upkeep of kitchen facilities, appliances, and conference room

  • Promote communication between the Provost's Office and Ruthven facilities team

  • Serve on building wide committees

  • Maintain directories, email groups, and department contact lists

  • Maintain electronic files

  • Provide expense report support and invoice reconciliation using the Concur system

  • Provide clerical support and other tasks as needed and assigned

Required Qualifications*

  • High school diploma and experience in the performance of progressively responsible administrative work or University environment.

  • Experience working as a receptionist or in a related professional role

  • Customer Service Experience

  • Experience working in a fast-paced professional environment

  • Ability to maintain strict confidentiality

  • Proficient in working with Microsoft Word, PowerPoint, Excel, and Google
