Overview

Under the general direction of the department director and within established hospital and departmental guidelines, the Inventory Controller performs a broad range of activities and projects associated with successful inventory management. Leads, supports, and coordinates projects in supply management. Monitors, maintains and oversees the integrity of the inventory system by identifying, recommending and implementing improvements to processes and systems. Provides analyses related to inventory operations, productivity, stock, and service.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Regularly collaborates with the Prime Vendors, Procurement team, MM Supervisors and front-line MM staff to ensure coordination, integrity, and stability of the supply distribution center Inventory as it relates to maintaining par levels, adding new items, deleting items, product increases, volume increases, etc.
  • Oversees the daily stock put away, stock rotation, and replenishment of the asset inventory.
  • Places daily purchase orders and works with procurement to source products on back order.
  • Performs weekly cycle counts, maintains audit documentation, and reports results with rationale for variances on a monthly basis to the Managers. Assists the Internal Audit Department with requests for information and on-site inventory audits. Works closely with Financial Operations on inventory activities and year end annual inventory process, schedule and outcome.
  • Responsible for product conversions and adds to stock. Works with the products and standards committee Value Analysis team to effectively coordinate product trials and conversions. Assists in providing conversion information to the Supply Support staff. Provides informational tools for staff to allow seamless transition through product changes. Works with Prime Distributor staff to ensure logistical integrity and efficiency.
  • Communicates on a daily basis to the Supply Support staff, back ordered supplies and special product requests. Also communicates with our internal customers on product support changes. This includes taking the initiative with sourcing alternative products or special product/patient needs through working w/ Prime Vendor and Procurement team to ensure product continuity.
  • Participates in internal meetings and responsible to gather facts, present documentation or perform other tasks related to the development of procedures or programs relating to inventory.
  • Works closely with Supply Chain Information Systems and Supply Chain Improvement/Innovations teams to enhance and leverage current technology. Participates in discussion on future state system redesign and changes and collaborates to implement best practice solutions.
  • Provides training to staff on ERP inventory system and monitors the integrity of daily transactions through utilization of reporting functions.
  • Follows hospital, Policies and Procedures, TJC, DPS, OSHA and CMS guidelines and procedures for supply stocking and rotation.
  • Performs other projects as assigned.

SUPERVISORY RESPONSIBILITIES:

  • Responsible for general oversight of the supply distribution inventory management process across the network.

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • High School diploma required; Bachelor’s degree preferred.
  • 3 years of inventory, warehouse, or supply management experience required.
  • Healthcare experience a plus.
  • Experience with computerized inventory management systems and PeopleSoft a plus.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Analytical and data interpretation skills.
  • Demonstrated proficiency in Microsoft Excel and Word programs. Microsoft Access a plus.
  • Ability to take initiative, work independently and prioritize projects of varying complexity.
  • Excellent interpersonal, organizational and influencing skills.
  • Ability to adjust to operational changes including service and schedule changes.
