Financial and Administrative Assistant

Job Description

FINANCE AND ADMINISTRATION ASSISTANT, D-Lab, to ensure the smooth operation of D-Lab programs and initiatives.  Will organize and coordinate office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Responsibilities include assisting with financial transactions related to financial report review and reconciliation, classes and student services, travel logistics and reimbursements, event planning, space coordination, and building operations; assisting with grants and contracts, accounts reconciliation, and documentation for administration and finance; monitoring and ordering inventory, selecting vendors, and using signature and purchasing authorization; facilitating complex travel arrangements, including processing travel advances and reconciling complex international trip expenditures; serving as D-Lab’s IT liaison with Desktop Support; coordinating logistics--including booking rooms and ordering food--for classes, meetings, events, and conferences; and supporting trip leaders in preparation for student group travel, training them on international travel administrative procedures, attending trip leader meetings, researching country information, and ensuring students are uploaded to the Travel Registry, including collecting necessary documents, assisting with visa applications, and reconciling trip reports upon their return.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; five years’ relevant professional experience, preferably in finance, accounting, or business administration; excellent organizational, analytical, problem-solving, interpersonal, and communication skills; proficiency with MS Office; and tact and discretion with confidential matters.  Must be able to work independently and as part of a team; set priorities, handle multiple tasks simultaneously, follow through, and meet deadlines in a high-paced environment; and interact effectively with a diverse group of people. PREFERRED:  bachelor’s degree; experience with contracts and financial administration; and experience managing databases and using SAP, Concur, Adobe Suite, Salesforce, Google Drive, and Dropbox.  Job #22326-6

Salary range (40 hrs/wk.):  $55,000 - 70,000, commensurate with experience.

There is a possibility of one to two days of remote or flexible work per week.
