Posting Summary
Rutgers, The State University of New Jersey is seeking a Project Manager in the Office of Faculty Affairs for Rutgers Biomedical and Health Science.
The Project Manager is an integral member of the combined Office of Academic Affairs which includes the Office of Faculty Affairs and the Office of Academic and Student Affairs. The Project Manager reports to the Vice Chancellor for Academic Affairs. The Project Manager plays a critical role to the internal functions of the office but is also outward facing, representing the office across RBHS and the larger university. The Project Manager will manage a variety of projects, programs, and support the initiatives of RBHS Leadership. The position will handle a wide range of matters of institutional importance and exercise confidentiality and discretion when handling confidential and sensitive matters.
Among the key duties of this position are the following:
  • Provides high level administrative support within the combined Office of Academic Affairs which includes the Office of Faculty Affairs and the Office of Academic and Student Affairs.
  • Identifies best practices and makes process improvement suggestions to processes within the purview of the office.
  • Coordinates and participates in administrative planning, project management, and introduction of new techniques and methods to improve administrative practices within the office.
  • Conducts research, assessment and/or evaluations. Compiles data, performs analyses, and submits recommendations and conclusions to RBHS Leadership.
  • Creates and, when appropriate, delivers presentations and materials to communicate information, process, and procedure to relevant stakeholders. These materials and presentations may be in-person
    or virtual presentations held synchronously or asynchronously via a learning management system or equivalent.
  • Works closely with RBHS stakeholders to improve processes and troubleshoot on matters within the faculty life cycle to include serving as liaison with communications team on various marketing and
    outreach initiatives.
  • Consults, coordinates, and collaborates with administrators and faculty members across RBHS and Rutgers University on matters within the scope of the position.
  • Exercises confidentiality and discretion in handling sensitive matters.
  • Under direction, plans and executes one-time and recurring programs projects for the office.
  • Provides administrative support in the planning, development, and implementation of department projects.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
  • Five (5) years of project management experience in an academic health system, university, government, or non-profit setting.

Required Knowledge, Skills, and Abilities
  • Exemplary time-management and organizational skills.
  • Strong oral and written communication skills.
  • Strong interpersonal skills with the ability to work with all Rutgers and external constituencies.
  • Outstanding human relations and leadership skills and the ability to function in a team environment.
  • Professionalism and discretion a must.
  • Advanced skills in Microsoft Office, particularly Excel and PowerPoint.
  • Ability to travel between campuses and work with individuals who are not co-located.
  • Ability to work with discretion and autonomy.
Preferred Qualifications
  • Master’s degree.
  • Experience with a project management tool.

PHYSICAL DEMANDS: No significant physical demands; however, position requires lifting up to 10lbs.
WORK ENVIRONMENT: Moderate noise (examples: business office with computers and printers, light traffic). No significant exposures.

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals , if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
