Summary
The Rackham Admissions Academic Records and Dissertations office, AARD, is looking for a friendly and flexible Customer Service representative that serves as the first point of contact for the AARD information desk. This position answers the information desk telephone and responds to email inquiries to address questions and concerns. Assists in advising customers regarding Rackham policies and procedures and directs guests to the appropriate people in the Rackham building or another campus resource.
In addition, this position assists with the day to day office tasks. Such as opening the mail, matching the documents to the correct applicant’s or student’s file, ordering cover sheets for document scanning, and assisting with record data integrity.
This position works in-person, Monday- Friday 8am-5pm.
Responsibilities*
- Greet and welcome in-person guests
- Answer general questions and concerns
- Answer all incoming calls
- Assist with answering email
- Direct in-person guests, emails, or calls to the appropriate staff member for handling or take messages
- Collect submitted documents and distribute to the appropriate staff
- Match student and applicant materials to the correct record
- Keep the front desk tidy and presentable with all necessary material (pens, forms, paper etc.
- Tasks as assigned to support the AARD office
Required Qualifications*
- Familiarity with office machines (e.g. fax, printer etc.)
- Excellent knowledge of Google applications and MS Office (especially Excel and Word)
- Strong communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- Customer service experience
- Strong attention to detail
