Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Senior Academic Program Coordinator. Reporting to the Director of Business of Fashion Programs, the Senior Academic Program Coordinator is responsible for the daily administration of all aspects of the Business of Fashion (BofF) undergraduate minor, concentration, and the Master of Science in Business of Fashion (MSBF).
This position is responsible for and not limited to the following:
  • Coordinates all aspects of student interface and serves as the initial point of contact for all prospective candidates, current students, and stakeholders
  • Works closely with the Director to develop and implement strategic initiatives for outreach, recruitment, media relations, and marketing
  • Travels among regional campuses of Rutgers University, canvasing and outreach in the greater NYC and NJ area, as well as up to 50% weekend and evening work may be required
  • Assists with a variety of special projects including donor relations, industry networking, and fundraising assigned by the Director
  • Manages and oversees all logistics for the MSBF program including all admissions sessions, open houses, student tours, conferences, field trips and events with guest Universities
  • Manages and plans the orientation process for MSBF students
  • Creates, monitors and reviews scholarships applications (Beverly Aisenbrey Business of Fashion Scholarship and FIT Scholarships)
  • Makes recommendations to Program Director
  • Develops annual program budgets, semester schedules, student registration, assign special permission numbers, and acting as a liaison with various Rutgers offices such as financial aid, cashier’s office, and office of international student services
  • Manages general budget and expenses for the department, including transactions within payroll, purchasing requisitions, cash transmittal, expense reimbursements
  • Assists MSBF students with graduation applications
  • Manages and certifies students for graduation
  • Schedules workshops (i.e. excel) with CTAAR for Business of Fashion students
  • Serves as the initial and main point of contact for academic advising for all MSBF students
  • Manages and oversees federal student workers and department interns, including social media intern
  • Creates work schedule and provide performance feedback to student workers and interns

Qualifications


Minimum Education and Experience
  • Requires a bachelor’s degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of the program and execution, coordination, organization, facilitation, report analysis, writing skills, and promotion/outreach
  • Also requires a minimum of two years of relevant experience in a program coordination or administrative function that includes coordination of work and management of people; good communication skills; and computer literacy
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be detail-oriented with good written and verbal communication skills
  • Outstanding Internet research and computer literacy skills including proficiency in Microsoft Word, PowerPoint, and Excel. Social Media expertise or Graphic Design experience is helpful as is event planning or production experience
  • Previous experience with management operations in an educational or similar setting
  • Demonstrated knowledge of program coordination and administration, record keeping, data organization, program promotion, and event planning
  • Excellent budgetary skills and records management
  • Ability to work in fast-paced environment and possess sound judgment and pleasant and professional demeanor
  • Ability to prioritize and multi-task while handling multiple interruptions
  • Work is consistent with an understanding of the mission, vision, role and goals of the programs
  • Extraordinary and proven communication and follow-up skills is mandatory
  • Professional and mature attitude is essential
  • Represent the program effectively in the fashion industry is key as well as an understanding of how to present the program’s image in the fashion and fashion-related industries
  • Public speaking, event planning and presenting experience is required
  • Ability to work in a variety of organizations is key as the person will be interacting outside the university with the corporate fashion industry with a critical understanding of small business and entrepreneurship

Preferred Qualifications
  • Prefer a minimum of 2 years working in project management, program coordination, or business administration
  • A Master’s Degree in a business field is preferred
  • Background in interdisciplinary degree programs is desirable as well as an understanding of the fashion industries
  • Experience in either product branding, a strong visual background, digital marketing, e-commerce and knowledge of the fashion industry are suggested
  • Proven track record of deliverable results in recruitment, program development, project management, and marketing is highly desirable
  • Must be able to quickly learn and communicate university policies and guidelines and create budgets
  • Ability to engage and communicate with various stakeholders including but not limited to: students, faculty, top industry leader and CBF Board members
  • Communication includes writing advance minutes, memos, letters and other written forms of communication in a timely manner
  • Database management and familiarity with Adobe Creative Cloud is a plus
  • Familiarity with academic business concepts is helpful
Equipment Utilized
  • Must be familiar with Canvas, Salesforce, WebEx, Zoom, and Microsoft Teams
  • Cornerstone preparer for all department-related transactions, PC proficient, and able to effectively use Microsoft Office Suite, Social Media, and online job and recruiting databases such as Symplicity
Physical Demands and Work Environment
  • Travel between all University campuses, program events, off-campus meetings will be required on a weekly basis
  • Evening and weekend work may be assigned based on the needs of the program and the discretion of the Director up to 50% of the time
  • Ability to lift and move up to 50 lbs
  • Ability to move around freely within the settings of a trade show atmosphere
